ServiceMaster Restore of Edmonton requires experienced Project Coordinator that will provide high level administrative assistance and support to the Project Manager (Large Loss) to ensure each claim is completed as specified by the insurance company.

Position Overview

  • Highly organized selfstarter who is able to work independently

  • Effectively work with customers, adjusters, subcontractors and employees at all levels of the organization
  • Ability to prioritize and meet all assigned time lines

Responsibilities

  • Acquire estimates from subtrades track invoices to ensure quick turnaround.
  • Complete estimates for time & material projects
  • Collect all back up and send invoices to adjusters and insureds with scheduled calendar followups.
  • Aid with accounts receivable collections on files as required.
  • Collect work authorizations and completion certificates with followups.
  • Schedule appointments for substrades, shop staff and Project Managers to ensure work is completed.
  • High volume of data entry to update and manage internal and external databases which includes Encircle, Acumatica and excel spreadsheets.
  • Track job costs related to large loss/revenue.
  • Be adaptable to priority changes.
  • Regular scheduled meetings with PM (in person &/or calls)
  • Progress billing & tracking of job costs
  • Reception coverage.
  • Flexible to work overtime (including evenings and weekends) as required to set up files, arrange crews & subtrades.
  • Perform other duties as required such as occasional site visits, meeting with subtrades, insured's, adjusters & conference calls.

Qualifications
year's work experience in an intermediate to senior administrative support capacity

  • Business Administration Diploma, Project Management Certification, or related certificate is an asset
  • Exceptional skills in Microsoft office programs including Word, Outlook and Excel. Certification in Advanced Excel will be considered an asset
  • Extensive data entry experience with a high degree of accuracy
  • A solid understanding of the accounting billing cycle
  • Clear understanding of construction terminology will be considered an asset
  • Previous work in the insurance industry, construction, restoration or mechanical industry is a definite asset
