Job Description:


This role is responsible for the administrative coordination of the College's Contract Management process, encompassing the review, analysis and management of various contract categories including but not limited to procurement contracts, agreements for goods and services, Memorandums of Agreement, Memorandums of Understanding, Software agreements, Student Work Integrated Learning Agreements, Grant and Research agreements, Affiliations, Exchange, International partnerships and numerous other forms of contacts (except employment contracts).

The scope of the position responsibilities also includes operational risk management duties such as waiver administration for field schools, international travel programs, summer camps and other College sanctioned activities.

The role also supports the College's insurance program and is responsible for various insurance administrative duties, including oversight of the College's certificate of insurance program.

The Contract Administration Associate also performs other related duties as required.

Qualifications Required:
Education & Experience

  • Bachelor preferred or completion of a twoyear diploma in a related discipline such as business or law.
  • Minimum three (3) years' experience in an administrative role, inclusive of contract and insurance support experience, preferably within a postsecondary or public sector environment.
  • An equivalent combination of education and experience may be considered.
  • Canadian Risk Management (CRM) designation considered an asset.
  • Working knowledge of the theories, principles and practices of contract law, indemnity, waivers, contract negotiation, risk management and risk transfer.
  • Knowledge of the BC postsecondary system is an asset.
  • Knowledge of insurance is an asset.
  • Experience working in a large, complex organization is an asset.
  • Experience working with integrated corporate HRIS such as Workday or similar cloudbased ERP preferred.

  • Demonstrated ability to communicate effectively both verbally and in writing.
  • Demonstrated ability to read and comprehend legal documents (e.g., agreements, contracts) in plain English in accordance with contract law and other legal provisions.
  • Strong attention to detail, analytical, editing, and proofreading skills.
  • Effective Interpersonal, organizational and communication skills both oral and written with demonstrated ability to exercise tact and diplomacy.
  • Ability to effectively organize and prioritize workload and to perform tasks within strict deadlines with mínimal supervision.
  • Work in complex and/or sensitive situations; maintain confidentiality and handle sensitive information with discretion.
  • Demonstrates initiative and ability to work independently with mínimal supervision, knowing when to seek guidance as an integral member of the Organizational Risk team and meeting the performance standards set by the College.
  • Willingness to acquire skills as new activities are undertaken and changes in technology and other work processes occur.
  • Advanced computer skills with superior knowledge of the Microsoft suite of office products.
