Role Summary


The Lead Medical Office Administrator (MOA) will be involved in all aspects of administering daily operations of CHARM Fertility, promote the clinic's diverse services and expand its client base.

You are the front-face of our clinic and support and hold the team together

Role Responsibilities- Provides optimum patient-centered care and demonstrates a professional manner
in the work setting

  • Actively participates in team building concepts, and development of departmental
goals

  • Must be able to work independently without supervision
  • Keeps EMR records using Oscar up to date by scanning the patient file, test results and other documents and properly saving them in the patient's electronic file
  • Receive and send faxes, make photocopies, scan documents and accept deliveries
  • Administer patient billing, collect overdue payments and process receipts
  • Maintain the confidentiality of all patient information
  • Prepare a monthly MOA schedule for all locations
  • Help MOA in new policy and procedure implementation
  • Check the schedule in all location on daily basis, to maintain a proper work flow
  • Implement any changes in the schedule if requested by the medical director and follow up on that.
  • Make sure that all payments are collected.
  • May cover for an MOA sick day or leave.
  • Visit different locations on a weekly basis.
  • Report to manager(s) any new changes or challenges.
  • Perform as a clinic manager without doing orders and is not responsible for US, nursing, and Lab departments.
  • MOA admin work.
  • Other duties, as assigned

Required Qualifications

Formal Education or Equivalent Associate's Degree in MOA or Bachelor Degree in healthcare management or any management Degree Additional vocational training or certification in medical is preferred
Years of Experience
One must have at least 3 years of experience working in Fertility Clinics.

Competencies- Proficient understanding of medical terminology, including knowledge of common medical conditions, procedures and abbreviations.

  • Keen attention to detail when recording patient information,managing medical records and processing billing.
  • Excellent verbal and written communication skills to interact with patients,healthcare professionals and colleagues.
  • Strong customer service skills to provide positive and compassionate experience for patience.
  • Understanding and adherence to patient privacy regulations (e.g HIPAA) and ethical guidelines.

Specialized skills, knowledge, or certifications unique to this role

  • Familiarity with different fertility treatment, procedures, and terminology.
  • Ability to explain fertility treatments,procedures and potential outcomes to patients in a clear and compassionate manner.
  • Proficiency in promoting the clini's diverse services and expanding its client base.
  • Familiar in operating ultrasound machines and understanding various features and settings.
  • Proficiency in using EMR (OSCAR) systems specific to fertility clinics.
  • Ability to schedule appointments for various fertility treatments,coordinate with medical staff and manage resources such as ultrasound appointments,lab tests, and consultations.
  • Adherence to privacy regulations such as HIPAA,is crucial in protecting patient information.
