Wedding Production Assistant


Cailin Billings Events is a timeless romantic Wedding & Event Planning company, based out of Cochrane, Alberta and servicing weddings and events in Calgary, Canmore, Banff, Lake Louise, Olds, Red Deer, and all of Central and Southern Alberta.

We are looking to expand our team for the 2024 wedding season, with 1-2 on-site Wedding Production Assistants.

This role will assist a Lead Planner through executing an event day from start to finish, in tasks such as rental & décor set up, timeline management, vendor & guest experience, and various evolving responsibilities.

Weekday remote office based hours may be available on periodic occasions.

Responsibilities:

  • Set-up and Preparation: Assist in the setup and preparation of wedding venues, ensuring that all decorations, equipment, and materials are arranged according to the event plan

Vendor Coordination:
Collaborate with various vendors, such as florists, photographers, and caterers, to ensure they have everything they need and adhere to the wedding timeline

Guest Assistance:
Greet and assist guests upon their arrival, providing information, directions, and ensuring their needs are met throughout the event

On-Site Support:
Work closely with the wedding management team to handle any last-minute changes or unexpected situations that may arise during the event, helping to troubleshoot and find quick solutions

Ceremony and Reception Support:
Assist with the smooth flow of the ceremony and reception, including coordinating the processional, managing guest seating, and ensuring the timely execution of all planned activities

Equipment Management:
Oversee the proper handling and organization of event equipment, such as audiovisual devices and lighting, to ensure seamless transitions between different parts of the wedding

Timeline Execution:
Help maintain and follow the wedding day timeline, making sure that all events occur on schedule and without delays

  • Clean-up and Breakdown: Assist in the post-event clean-up and breakdown, ensuring that the venue is left in pristine condition

Position Expectations:

  • Seasonal position, on mainly Saturday's between May
  • October
  • Maintain a fast pace, alongside attention to detail and consistent poise and professionalism
  • Arrive to each event ready to work as a positive team player
  • Expectation of possible labour intensive tasks, such as furniture placement, heavy lifting, and long consecutive time on foot

The perfect fit must have:

  • Previous experience in event coordination, hospitality, or a related field is a plus but not mandatory
  • Strong interpersonal and communication skills, with a friendly and approachable demeanor
  • Excellent organizational and time management skills, with an ability to work efficiently in a fastpaced environment
  • Flexibility to work irregular hours, including weekends and evenings, based on wedding schedules
  • Physical stamina and the ability to lift and move event equipment and decorations as needed while working long hours (10+)
  • Attention to detail and a commitment to delivering highquality service to clients and guests
  • Ability to work well within a team and take direction from the wedding management team
  • Their own vehicle, and the ability to travel throughout Central and Southern Alberta
  • A passion for weddings and events, with a desire to contribute to making each wedding day extraordinary.
