You as an Office Coordinator will:

  • Answer and direct incoming calls in a prompt, professional and courteous manner.
  • Welcome all visitors to the company and direct them to meeting rooms or ensure the appropriate person is advised they have arrived.
  • Maintain updated area phone lists, employee extension lists, distribute as needed.
  • Coordinate and organize all aspects of internal meetings on an as needed basis, this may include reservation of appropriate meeting room, placing catering orders, coordination with IT, meeting room set up, and post meeting tidying of meeting rooms.
  • On a daily basis, complete a walk around of the office to ensure meeting rooms and coffee stations are clear and wellmaintained.
  • Fulfill office stationery and kitchen supply orders on an as needed basis, including stocking, organization, distribution, and inventory.
  • Liaise with site staff regarding stationery orders, couriers as requested.
  • Sort and distribute incoming mail and prepare outgoing courier packages.
  • Maintain order and cleanliness of reception area, staff common areas, boardrooms, and other office areas, as needed.
  • Manage office equipment, maintenance, and inventory as well as support and trouble shoot with area staff as required.
  • Liaise with building maintenance when requested for tenant issues within our unit.
  • Being efficient with electronic filing including maintaining digital files, scanning, and photocopying.
  • Proficient in drafting, editing and formatting of documents using Office 365 (i.e. Word, Excel, PowerPoint).
  • Coordinate staff socials and holiday parties; venues, catering, supplies.
  • Working closely with the team to complete all administrative tasks in a timely manner and with great attention to detail.
  • Proactively plan and establish priorities to accomplish goals and deliver on assigned tasks.
  • Other administrative tasks as assigned.

Is this the right role for you?

  • You have two to four years of administrative experience, or an educational background in Office Administration.
  • You are proficient with the MS Office suite and have moderate to strong skills with Excel, Word and PowerPoint.
  • You have great attention to detail.
  • You have a strong focus on customer service and enjoy interacting with others.
  • You have the ability to quickly develop working relationships with a broad range of individuals, both internally and externally.
