The Opportunity:


The Accounts Payable Administrator will report directly to the Senior Property Manager and will be responsible for processing Accounts Payable invoices, documents and payments in a timely, accurate manner and assisting in the overall success of the Accounts Payable & Operations team.


What You Will Do:

  • Upload and data entry of AP invoice preparation in document management system
  • Ensure the accuracy of the invoices and applicable tax
  • Process payments as per established cheque run
  • Respond to vendor inquiries and reconcile vendor statements
  • Handle utility & telephone billings and track account information
  • Handle void cheques and vendor setup requests
  • Confirm vendors are registered correctly on ComplyWorks
  • Process Visa entries and also employee expenses as requested
  • Work with future PO system to ensure invoices are correctly matched prior to payment
  • Responsible for the distribution of the daily mail and courier
  • Provide support to the Property Administrator team as required
  • Work closely with PM & operations team to ensure proper approvals are received
  • Provide assistance on chargebacks and other AP related issues
  • Provide top level customer service to both internal and external customers
  • Review ongoing processes for efficiency and provide proactive suggestions to improve team performance
  • Adhere to Accounts Payable policies and procedures
  • Other duties as required

Who You Are:

  • 12 years related accounts payable experience;
  • Experience in real estate operation a definite asset but not required;

Relationship Skills - Ability to communicate effectively, both oral and written; ability to develop and sustain cooperative working relationships;

Organizational/Multi-Task Skills
  • Ability to allocate one's time effectively, work under pressure and manage tight deadlines; ability to handle multiple demands and competing priorities, and adapt to new ideas and constant changes;

Computer Skills - Strong skills in Excel and Word.
