We are looking for a mathematically adept, detail-orientated individual with an exceptional work ethic.

This position helps employees to manage and understand their benefits - health, dental, life and AD&D, pension plans, and the processing of leave of absence and includes all on/off-boarding activities with the respective benefit carriers.


The Opportunity:


You will use your skills and experience to resolve and investigate claim issues with insurance carriers by liaising with the provider and employees.


You will train users and create learning materials and facilitate group and individual sessions for benefits, retirements, and time and attendance.


You will process, maintain, and audit personal information changes in the human resources information system (HRIS) and related systems (e.g., benefits carrier, pension), including coordination of benefits, beneficiaries, adding/ removing dependents, overage students, and salary updates.


You will audit, troubleshoot, and update employee records in TAMS and HRIS data and offer letters to ensure information is accurate for payroll processing and entitlements, per employment standards and collective agreements.


You will have the opportunity to build and update employee attendance information and schedules, identify gaps or errors, and make changes to comply with collective agreements.


You will process termination payments by calculating and reconciling payout entitlements for payroll processing for resignations, retirements, and deaths (e.g., sick, vacation), and advise on tax rules, reconcile pay advances (e.g., tuition, moving expenses) and coordinate information exchange with group benefit and pension providers.


You will process and reconcile billing statements from insurance carriers for Finance, transfer, and format WSIB cost statements and invoices into the system (Parklane) and create individualized cost reports for the Region and Waterloo Regional Police.


Processes and monitors absences with operating management and other departmental staff; adjusts accrual banks, informs payroll of pay adjustments and other requirements (e.g., record of employment), advises employees of impacts as required.


You will distribute and ensure completion of employer and employee forms as required (e.g., long-term/ short-term, pension disability waivers, WSIB), calculates and collects benefit payments for same to ensure grace periods are not exceeded.


You will liaise between employees, disability management coordinators, insurance carriers, pension carriers, payroll, and operating management to ensure system reactivation related to returning employees and prepares rehabilitation statements for the insurance carrier.


You will process Group Registered Retirement Savings Plan (GRRSP) program requirements, including enrollments, terminations, payroll deductions, and promotions, and liaises with the provider.


You will review, and verify workplace incident reports, determine the need for WSIB forms as needed and calculate and provide earnings information to WSIB and consult with the disability claims advisor and department regarding claims.


Knowledge of group benefits, pension, payroll, WSIB administration and legislation; leave of absence legislation; time and attendance systems; office and administrative procedures and protocol; keyboarding, math, and communication skills, normally acquired through a post-secondary certificate in Benefits Administration or Human Resources (or related field) plus progressively responsible related experience -OR- a grade 12 education with equivalent directly related experience.


Knowledge of and ability to comply with policies and procedures, collective agreements, legislation (e.g., employment standards, Service Canada, CRA, payroll regulations, WSIB, privacy and freedom of information), and pension and benefits regulations and manuals.

Basic knowledge of medical terminology to understand claim information.
