PROJECT & SITE COORDINATOR - SALES

Wall Centre Hotels is looking for an organized, creative and client-focused individual.
This role will be to support Sales in a variety of ways infusing creativity into Familiarization tours, our client site inspections and our client interactions both in Vancouver and planning in different cities.
This role will function as a conduit between our clients and the hotel to enhance our clients' experiences prior to, during and following sales interaction activities.
What your day will look like:
- Working closely with the Sales and Marketing team. Liaise with Sales Managers to identify and define requirements, scope and objectives
- Organize and Execute client facing events
- Internal and External events as directed
- FAMs both internal and externally organized FAMs
- Create itineraries for FAMs, and/or site inspections
- Tradeshow (local and inmarket: no travel required) activations Onsite advancement of internal, external events including FAMs, and site inspection as directed.
- Create and distribute site resumes as directed
- Room and Meeting Space preadvance prior to any site inspection, client event and/or FAM, followed by postsite check, ensuring public spaces and/or rooms are securely locked.
- Onsite support and execution with customers and liaison with internal staff members to ensure projects are executed accordingly
- Coordination and procurement of promotional giveaways as needed for inmarket activations, events, site and/or FAMs.
- Amenity coordination with Sales Managers, and interdepartment associates
- Coordinate project management activities
- Budgeting, sourcing, scheduling, invitations, followup, bill reconciliations etc.
- Complete and submit DMF request to Destination Vancouver as required
- Able to curate and organize customer invitation list thru Event Temple
- Write postevent reports
- Break projects into doable actions and set timeframes
- Assign tasks to internal teams and assist with schedule management
- Help prepare and stay fiscally responsible on event budgets with DOSM/ADOS
- Analyze risk and opportunities
- Oversee project progress and handle any issues that arise
- Act as point of contact and communicate project status to all Departments and stakeholders involved
- Create RFPs to vet for future FAM suppliers (ie. DMCs, Photographers, etc).
- Maintain strong and good relationship with local stakeholders, DMO, DMCs, Hotels, attractions, and suppliers
- Potential to attend local industry networking events to expand your network and local product knowledge (ie. Tourism Show, PCMA or MPI local networking events).
- Curate and update a list of key local suppliers for internal usage and to share with customers. (ie. Signage Suppliers, Transportation Suppliers etc).
- Procure and site offsite unique venues for FAM usage, if appropriate
- Provide administrative support as needed
- Support in planning, execution and follow up of site inspections at both of our hotels
- Administration / Sales Associate duties required during downtime.
- Including filing, proposal creation, contract creation and other duties assigned
Your experience and skills include:
- Proven work experience as a Project Coordinator or similar role/field (18 months minimum)
- Experience in project management, from conception to delivery
- An ability to prepare and interpret flowcharts, schedules and stepbystep action plans
- Solid organizational skills, including multitasking and timemanagements
- Client/guest interaction on a regular basis
- Strong clientfacing and teamwork skills
- Ability to navigate complex challenges and find a resolution
- Basic knowledge of Vancouver's Tourism and Hospitality infrastructure and attractions
- Strong interdepartmental communication is an asset
- Ability to solve problems onsite without hesitation
- Proactive: can initiate activities when opportunities arise versus waiting to react to problems
- Effectively able to set expectations and deliver on commitments
- An achiever who is driven, results focused and has a positive "whateverittakes" attitude
- Strong working knowledge of Microsoft Office tools (Outlook, Excel, Word, Power Point, Project and Planner)
- Experience working in the hospitality industry
- Experience with local tourism and hospitality product is an asset
- Exceptional verbal, written, and presentation skills
- Ability to work effectively both independently and as part of a team
- Ability to work on tight deadlines
- Ability to work evenings and weekends
