Job Summary:


The Administrative Assistant for the Nursing Department is a member of the healthcare team responsible for the scheduling, the time and attendance and payroll for the nursing staff and administrative support to the Nursing Department.


Key Responsibilities:

  • Coordinate and complete Nursing staff schedules, staff placements as per the CA and daily assignments as well as staff replacements. Responsible for the master and active schedules.
  • Review, update and confirm the time and attendance of the Nursing department and reviews/confirms the Nursing payroll for submission to the payroll department.
  • Review, maintain and update clinical forms and relevant documentation which supports daily routines
  • Coordinate, prepare, track and record clinical services for the residents
  • Coordinate and participate in the admission process through the provision of current documentation and sharing of appropriate information
  • Inventory management of equipment and supplies include coordination of medical supplies purchases
  • Provide clerical/administrative support to nursing management in labour/management relations
  • Keep the Nursing staffing roster up to date and in compliance with the CA
  • Provide IT support and training on StaffStat (the scheduling app)
  • Assemble relevant information as needed /requested to facilitate resident care delivery

Qualifications:

  • Office Administration, Medical Administration or equivalent
  • Minimum 1 year experience working in a health care, long term care setting
  • Experience with nursing scheduling and with processing electronic time and attendance
  • Effective written and oral communication skills in English
  • Strong organizational and time management skills and ability to work independently and with the nursing team
