Job Summary

As a Representative for Order Entry & RGA, you will report to the Manager of Customer Service. Your main tasks will involve interacting with Customers across all regions of Canada, assisting them with order placement, processing RGA's, obtaining updated status information, and expediting existing orders.

Key Responsibilities

  • Enter or modify customer orders within specified timeframes, ensuring accuracy and completeness
  • Correspond with internal and external customers to handle and process Return Goods Authorizations (RGA's) and issue Customer Care Forms (CCF's)
  • Maintain effective communication with customers throughout the order process and associated activities, ensuring they are informed of order status and shipping dates, and expedite when necessary
  • Follow up on orders with manufacturers and customers, making adjustments as needed
  • Handle research and processing of back-charges, no-charge orders, and sales credits
  • Address both external and internal customers' needs promptly and professionally, assisting in resolving any issues or concerns
  • Respond to customer inquiries and effectively resolve complaints
  • Keep constant communication with the Sales team regarding Distributor issues, pricing, discounts, and other relevant information
  • Maintain a professional demeanor in all customer and sales personnel interactions
  • Perform any other duties as assigned

Education and Experience

  • Completion of secondary or post-secondary education
  • Minimum of 3 years' experience in customer service and order desk positions
  • Strong working knowledge of ERP and EDI systems
  • Experience in the building materials sector would be advantageous

  • Proficient in written and oral English communications
  • Ability to navigate multiple computer systems for order processing
  • Proficiency with MS Office tools
  • Customer-centric approach
  • Strong time management skills and ability to thrive in a fast-paced environment
  • Detail-oriented with troubleshooting and issue resolution abilities
  • Excellent interpersonal skills and successful teamwork experience
  • Willingness to work from 8:00 a.m. to 4:30 p.m., Monday to Friday, including overtime when needed
