Altis has partnered with a Property Management client to hire an Office Manager in Ottawa. Reporting directly to the General Manager, the Office Manager plays a pivotal role in overseeing front desk operations as well as managing Resident and Supplier accounts and records, including billing and invoicing.

This is a full-time position, permanent role that comes with paid benefits, 3-weeks' vacation, and more

Roles and Responsibilities

  • Oversee the cleanliness and organization of the front desk area and ensure the availability of necessary office supplies.
  • Recruit, train, and supervise front desk receptionists.
  • Create and manage shift schedules and enforce disciplinary actions for front desk receptionists and security guards.
  • Process monthly tenant rent and service invoices accurately.
  • Receive and handle tenant payments promptly and accurately.
  • Generate financial and tenant reports as needed to support decision-making.
  • Keep tenant administrative files organized and up-to-date.
  • Ensure compliance with company policies and familiarity with the requirements of the Resident Tenancy Act.
  • Manage tenant accounts during move-in and move-out procedures.
  • Provide excellent customer service by addressing questions and inquiries from tenants and visitors.
  • Review and process adjustments to tenant accounts based on leases signed by the Sales team.
  • Undertake additional duties as assigned to contribute to the overall efficiency and effectiveness of the office and building.

Qualifications and Skills

  • A College Diploma or University Degree in Office Management/Business Administration.
  • Strong verbal and written communication skills.
  • Demonstrated experience in customer service.
  • Proficient in conflict resolution techniques to address issues effectively.
  • Knowledge of relevant legislation, including the Employment Standards Act, Workers' Compensation Act, Public Health Act, Residential Tenancies Act, and Occupational Health & Safety Act.
  • Proficiency in Microsoft Office, financial systems, billing processes, and YARDI software.
