Position: Social Media and Communications Assistant (Seasonal)

Department: Community Services and Strategic Partnerships

Division: Communications

Reports to: Manager, Communications and Community Engagement

Community Services and Strategic Partnerships

This department is responsible for developing and implementing Economic Development, Tourism and Communication strategies for the City. The department is also responsible for the management of all City facilities which includes the day to day operations of our Arenas and Marina. In addition the department will be actively involved with developing and maintaining numerous strategic partnerships with various groups and organizations with whom the City of Quinte West engages.

Purpose and Scope:

The Social Media and Communications Assistant is responsible for providing social media and communications support to the Corporate Communications team.

Duties and Responsibilities:

The position will:

  • Assist the Corporate Communications team with communication, social media and community engagement initiatives throughout the City.
  • Support the execution of the City's seasonal social media calendar by planning content and ensuring appropriate content approvals and workflows.
  • Create and schedule content for multiple social media platforms, including writing posts, developing content, image selection, recording and editing videos and reels.
  • Monitor, respond and reply to social media comments and messages in accordance with City policies.
  • Take photos and videos of City events, teams, projects and community initiatives as the City's official photographer.
  • Update and maintain the City's centralized photo and video database.
  • Assist in the development and review of communications plans, social media content plans, and related materials.
  • Prepare drafts of communication materials including, but not limited to, social media messaging, online engagement webpages, website edits, media releases and newsletters.
  • Assist with the writing, design and production of a variety of communications materials such as brochures, flyers and posters.
  • Attend special events as required to support the team and promote the City.
  • Work collaboratively with City staff to ensure communication and promotion requests are achieved.
  • Follow all guidelines for employees and employers as legislated under the Ontario Occupational Health and Safety Act, other applicable legislation, best practices, City policies and procedures where applicable.

The position will have direct contact with:

Internal: Manager, Communications and Community Engagement, Communication and Community Engagement Officers,, Special Events Coordinators, Economic Development Officer, Tourism Development Officer, Department Heads and staff of all City Departments.

External: General public, community stakeholders, and ratepayers, etc.

Education/Specialized Training/Skills:

The position will require:

  • Currently enrolled in or a recent graduate from a two (2) year community college diploma in Public Relations, Communications, Business Administration, Journalism or a related program.
  • Experience planning, creating, implementing, and measuring high-quality social media campaigns on Facebook, Instagram, and LinkedIn.
  • Excellent knowledge of social platform capabilities and best practices.
  • Photography and graphic design skills.
  • Excellent organizational skills, with the ability to multitask in a busy environment with a proven focus on service delivery.
  • A highly developed sense of professionalism, tact and diplomacy.
  • Demonstrated respect for confidential and sensitive issues.
  • Demonstrated telephone and public relations skills.
  • Ability to foster good rapport and cooperative working relationships.
  • Strong computer skills including Google Workspace, Microsoft Word, Excel, PowerPoint, Dayforce (or other similar software programs) email and internet.
  • Strong written and verbal communication skills.
  • Strong and effective analytical, strategic, critical thinking and problem solving abilities.

Nice to Have:

Although not required, the following would be considered an asset to the position:

  • Knowledge of SAAS software SproutSocial, Airtable and Hootsuite.
  • A valid G driver's licence with a clean driving record.
  • The ability to communicate in both English and French.
Work Experience:

A minimum of three (3) months experience in a communications or public relations environment is required.

Nice to Have:

Although not required, the following would be considered an asset to the position:

  • Experience with video editing.
Decision Making:

The position has minimal responsibility for decision making affecting the City.

Supervision:
  • Not applicable.
  • Work in an office environment on a regular basis.
  • Some work required outside at various sites within the City of Quinte West.
  • Availability to work evenings, weekends and holidays as required.

Note: This is a seasonal opportunity with full-time hours from May to October.
