Position Summary


Reporting to the Outreach Manager, the Outreach Coordinator is responsible for executing and ensuring the smooth delivery of APEGA's various educational outreach programs, services, and initiatives.

This position will plan, coordinate, and host outreach events across Alberta that are consistent with the vision and mandate of APEGA.


APEGA's Outreach programs provide value-added services and initiatives to attract, retain, engage, and advance individuals to the Engineering and Geoscience Professions.

The Outreach Coordinator will be involved in the planning and execution of the K-12 Outreach program, public engagement initiatives, and other valued Outreach services.


Responsibilities:

  • Engaging APEGA members and building relationships with branch outreach volunteers to successfully deliver outreach initiatives; providing event planning guidance (planning guides, leading practices, timelines, troubleshooting, advice); creating training documents and providing regular updates to APEGA Branch Coordinators.
  • Effectively managing event and committee volunteers, including recruitment, training, supervision, expectation management, retention, and tracking.
  • Developing resources to facilitate event planning and the promotion of engineering and geoscience in Alberta by researching existing programming and identifying any gaps in current offerings.
  • Researching new teaching methods and best practices
  • Creating presentations, activity writeups, training manuals and career resources.
  • Planning, coordinating, attending, and ensuring the success of small to large Outreach events across the province to engage youth in engineering and geoscience. This includes planning and maintaining the schedule of events; preparing and managing event materials and inventory, managing thirdparty vendors (research, book, and confirm) and onsite setup, takedown, event coordination, and troubleshooting.
  • Registering attendees, tracking attendees and recording payments.
  • Addressing and incorporating feedback from stakeholders to improve the event or offering.
  • Creating and updating proper documentation for tracking and reporting purposes of events, including event requests, sponsorship, registration, budget, feedback, and outcomes.
  • Preparing metrics reports utilizing event statistics, identifying considerations, risks, and impacts.
  • Collaborating with the Outreach Manager to develop and administer new Outreach initiatives to increase participation and engagement.
  • Proactively building relationships with internal and external stakeholders to further the objectives of APEGA's Outreach programs including engaging APEGA members and dignitaries, when necessary.
  • Building and maintaining key contacts with various Alberta schools and school boards.
  • Liaising with teachers, volunteers, students, committees, and the public to promote events and APEGA's Outreach Programs.
  • Liaising with Communications department to align promotional content material with key initiatives.
  • Liaising with other organizations that provide K to 12 Outreach Programs.
  • Assisting the Outreach and Product Services team in the success and improvement of all portfolios.

  • Ability to manage, supervise, mentor and guide volunteers where required.
  • Ability to work under pressure and tight deadlines.
  • Ability to frequently move and transport boxes and materials weighing up to 50 pounds to and from event venue.
  • The position requires some travel to Branch locations across the province.
