The Career Systems Administrator is responsible for maintaining and growing the CCWIL career system tools to support the business needs of all users and stakeholders.

The incumbent provides support and guidance to other team members as it relates to the career system tools and provides high quality customer service and user support to all stakeholders, including students, staff, and employers.


Responsibilities:

Career Portal Systems Administration

  • Monitor and ensure ongoing successful integration with the Student Information System (SIS), including troubleshooting and resolving issues, and liaising with IT Services, Registrar's office, and vendors
  • Maintain and optimize the career portal (MyCareer) system, including anticipating, troubleshooting, and resolving system issues
  • Administer site structure, create and manage modules and resource pages (calendars, job boards, etc.) within MyCareer
  • Ensure dashboard and resource HTML pages are properly formatted and stable, links are current, and documents are managed and versioned within the document management tool
  • Administer and maintain system security and permissions
  • Evaluate, test, configure, and document all system updates, service releases, and patches; Disseminate information to relevant users/stakeholders via notifications, documentation, and training sessions
  • Oversee data quality to protect the integrity of data, including data auditing and reporting to ensure system policies and procedures are adhered to, providing guidance to end users on identified issues, and developing process change enhancements to improve data quality issues
  • Facilitate CASL compliance configurations and activities within MyCareer

Planning, Coordination, and Facilitation of the Co-op & Career Term Cycles

  • Configure relevant modules each term using SIS and other systems for crossreferencing to ensure student/program integration and report any configurations and anomalies
  • Ensure accurate and onschedule communications to students, employers, and staff
  • Monitor and report issues to staff for resolution where necessary data is missing or inaccurate when used in the following communications: Tax Credit Letters, Final Employer Evaluations, and CEWIL reporting
  • Provide guidance and training as needed to resolve compliance issues
  • Develop and maintain a calendar of important dates for staff, employers, and students

Planning and Implementation of Software Upgrades, New Modules, and Special Projects

  • Provide leadership and support for new initiatives and features, technical guidance and best practices, and effective negotiation/persuasion skills to reach project agreements and peer buyin of new software or processes
  • Create and manage documentation and user guides for upgrades, new modules, and special projects

Support & Incident Management

  • Provide support, technical direction, coaching, and guidance to staff/faculty, management, students, and employers to ensure clear and comprehensive communications of MyCareer incidents
  • Investigate, diagnose, reproduce, and resolve reported issues
  • Collaborate with IT Services and product vendors to assist with resolution of software fixes
  • Monitor vendor tickets and update internal incident tracking with vendor ticket tracking and resolution notes
  • Document resolutions and create a knowledge base and FAQ's
  • Maintain active role in WIL/EL initiatives, ensuring current knowledge of business processes and system configurations for backup and support of WIL Portal Coordinator
  • Liaise with the WIL Manager and Portal Coordinator on system initiatives and issues

Training & Reporting

  • Develop and coordinate training plans for department and user/role categories, including identification and assessment of training needs and learning objectives for each department and user/role
  • Determine instructional methods based on training needs, including individual and group training, new staff onboarding, demonstrations, and workshops
  • Identify, acquire, track, and log data from MyCareer and supporting systems, interpret data, and identify patterns and inconsistencies that may affect reporting
