Organization Overview

SEC maintains its head office in Newmarket and provides public service signature expertise for immigrants, newcomers, early learning and development, Family Justice Service, Career and Labour market integration through programs such as Supervised Access, EarlyOn Child & Family Centres, Welcome Centre for Immigrant Services-Newmarket and several Before & After School and Licensed Childcare Programs.


The Opportunity


The Welcome Centre Receptionist attends to visitors/clients in a highly professional manner assisting with inquiries both on the phone and face to face.

The WC Centre Receptionist is responsible for providing information regarding the Welcome Centre and its program and services as well as scheduling service appointments.


Key Job Responsibilities

  • Present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions
  • Provide up to date information regarding the Centre's services, citizenship & immigration, ESL and LINC programs and schedules to staff clients and partners
  • Enter client's initial contact information into the Centre's Database
  • Observe and report any security issues to the Centre Manager
  • Assist clients with any computer issues, faxing, scanning, printing and photocopying
  • Notify the IT department of any IT related issues in the Centre
  • Book appointments for clients based on the services required
  • Provide support with setting up rooms for workshops, events and meetings and provide coverage to WC admin duties when needed
  • Close and lock Centre after ensuring everyone has left the premise
  • Act as the liaison for vendors, program staff and partners
  • Ensure all forms and reports are completed as needed and where necessary, assist in compiling data for various reports
  • Maintain the reception in a tidy and presentable manner
  • Other tasks as required
  • High School Diploma and/or equivalent knowledge and experience with administrative and clerical procedures
  • Strong administrative skills
  • Superior telephone manners and strong interpersonal skills
  • Able to write simple correspondence, including memos, letters, etc.
  • Able to maintain filing systems and basic databases.
  • Knowledge of supplies, equipment, and/or services ordering, as well as office supply inventory control
  • Records maintenance skills
  • Strong work ethic and positive team attitude
  • Ability to respond appropriately in high pressure situations with a calm and steady demeanor
  • Good organizational, time management and prioritization skills
  • Excellent customer service skills; excellent communication skills (verbal and written)
  • Ability to establish and maintain effective working relationships with clients and staff
  • Ability to effectively perform job duties with minimum supervision
  • Adjusts and is flexible to meet changing work needs and demands
  • Demonstrated experience with MS Office
  • Current clear Vulnerable Sector Screen
  • Ability to speak an additional language is an asset
