Position Overview

Advancement Services under the Office of Advancement is currently seeking a Full-time Regular Gift Processing and Tax Receipting Senior Analyst.

As a member of the Gift Processing and Tax Receipting (GPTR) team within Advancement Services, this position will report directly to the Manager, Gift Processing and Tax Receipting and will have campus wide impact. This position will work in partnership with donors, faculties, departments and other stakeholders, to ensure that all donations received by the University of Calgary are accounted for in accordance with the policies of the University and the Canada Revenue Agency.

This position provides guidance to colleagues in the Office of Advancement relating to donations, requires a high level of accuracy and efficiency to coordinate GPTR’s bank deposits, applies excellent communication skills to work collaboratively with stakeholders, and offers support for analysis, reporting and account reconciliation purposes.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Required to manage own time and other analysts time to ensure daily deposits are completed accurately and on schedule
  • Determine priorities and work independently to determine the impact of work on  other units in Advancement Services and across campus, while providing expertise and support for these other units as required
  • Lead the change management process and testing for new CRM enhancements and any future new platform implementations
  • Analyze new business opportunities in alignment and support of Advancement activities
  • Initiate, design, and implement processes to enhance customer service and optimize operational efficiency
  • Consult with Partners/Advisors as well as business Subject Matter Experts where specific knowledge and in-depth investigation is required
  • Responsible for supplying expertise and knowledge to internal and external stakeholders for all queries that pertain to the processing of donations to the University of Calgary. Solutions provided must be in accordance with CRA regulations and honour the direction of the donor
  • Provide CRA information regarding the issuance of tax receipts for a variety of secondary fundraising activities like special events (i.e. membership appeals, walks or runs)
  • Exercise discretion in dealing with highly sensitive and confidential issues like the security of donor financial information and anonymous gifts
  • Deliver one-on-one as well as group training to new Gift Processing Analysts or other Advancement colleagues
  • Acts as a mentor and assists University staff; advising on University policy and procedures, systems, programs and unit operations
  • Provide guidance to junior Gift Processing Analysts so that reported issues or requests that are ticketed are organized, responded to and closed within an appropriate timeframe
  • Oversees processing for all tele-marketing, direct mail and online donations received by the University of Calgary
  •  Ensure committed batches received from all analysts are balanced and ready to include in the GPTR bank deposit
  • Reconcile cash/cheques/credit cards with donations entered in the donor database
  • Prepare paperwork and complete deposit slips
  • Active participation in reconciliation and management of financial records related to Advancement Services’ activities
  • Review complex gift entries and monthly reconciliations of various project funds

Qualifications / Requirements:

  • University Degree with a concentration in Business, Accounting, Operations Management, Management Information Sciences or other related fields
  • A minimum of 5 years’ experience in University Advancement, Banking, Accounting, Finance or other related experience
  • Advanced or Expert skill with Microsoft Excel is essential
  • Knowledge of Visual Basic for Applications (VBA) is an asset
  • Highly proficient with other Microsoft Office applications (Word, PowerPoint, Visio)
  • Experience with Blackbaud CRM or PeopleSoft software is an asset
  • Strong quantitative analysis skills with a proven ability to problem solve, analyze processes, and initiate improvements when needed
  • Ability to perform comfortably in a fast-paced, deadline-oriented work environment
  • Ability to assess deadlines and schedule own work appropriately
  • Ability to learn quickly and adapt to changing priorities
  • Strong organizational, communication (verbal and written) and interpersonal skills
  • Candidates should demonstrate a strong understanding of general accounting concepts, and a basic understanding of Canada Revenue Agency regulations regarding donations
  • Knowledge of University regulations and procedures is an asset
  • Experience with cash handling and reconciliation is preferred
