ABOUT THIS CAREER OPPORTUNITY

The Black & McDonald Ottawa Region is growing and is seeking a Facility Coordinator This is an 18-month contract. If you are skilled, detail oriented and result focused, then this role may be for you. The successful candidate must hold a valid Government of Canada Secret (Level II) clearance or have the ability to obtain the required clearance as required for this position.

Duties and responsibilities include but are not limited to:

  • Assisting the Contract Manager in maintaining property documentation such as budgets, site access, reporting, health and safety and payroll.
  • Responsible for overseeing the creation of work orders, purchase orders and managing of invoices to ensure accurate allocation of costs.
  • Overseeing preventative maintenance work orders through various online platforms, creating corrective work orders, and assisting with the scheduling of maintenance.
  • Communicating with clients through formal and ad-hoc reports. Collecting and reporting on energy and utility usage.
  • Managing a subcontractor pool, continuously seeking to expand the pre-qualified subcontractors.
  • Report on Key Result Areas and other Divisional requirements including tracking, analysing, and trending of costs.
  • Assisting with minor project work including assisting the Project Manager by performing job showings with approved subcontractors, assisting with the RFQ process and award, coordination of awarded projects, completing project documentation and tracking of project costs / billing.
  • Other administrative duties as required.

EDUCATION REQUIREMENTS

  • Degree or Diploma in Business Administration or related field.

WORK EXPERIENCE REQUIREMENTS

  • Proven work experience as a Property/Facility Coordinator or similar role.
  • Experience managing subcontractors.

SKILLS, ABILITIES, AND OTHER REQUIREMENTS

  • Motivated with the ability to work with strict timelines in a fast-paced team environment.
  • Proficiency in Microsoft Office applications such as Word, Excel, and Outlook
  • Must possess strong verbal, written, analytical, and persuasive skills and the ability to communicate and interact with all levels of customers, employees, and management.
