BACKGROUND:

SCO is a growing and dynamic regional First Nation organization that represents 34 Anishinaabe and Dakota Nations and more than 87,000 citizens in southern Manitoba. Established in 1999 by the Chiefs, SCO is mandated as an independent organization to protect, preserve, promote, and enhance First Nation peoples’ inherent rights, languages, customs, and traditions through the application and implementation of the spirit and intent of the Treaty-making process.

OVERVIEW:

Through the Mental Health and Wellness program, the Southern Chiefs’ Organization Administrative Assistant shall provide support to the team with the goal of increasing access, coordination, and communication of the Wellness programs for southern First Nations. Additionally, the Administrative Assistant shall provide administrative support to all Wellness staff of the SCO, as required.

KEY RESPONSIBILITIES:

· Provides administrative and organizational management support to the Mental Health and Wellness program staff which includes MCRT, Traditional Healers, Harm Reduction, Land Based Healing, and the Non-Insured Health Benefits Navigator

· Maintains a calendar of events and deployments

· Coordinates travel arrangements, expense claims, and itineraries

· Arranges and coordinates all in-person and virtual meetings in support of team efficiency

· Assists in the administration, preparation, and distribution of reports, briefings, minutes, and other types of formal and informal correspondence

· Prepares meeting agendas and packages, and distributes as required

· Takes minutes during meetings, transcribes minutes, and distributes minutes to team members

· Prepares drafts, reports, letters, and other documents and notices for the MCRT

· Provides program information of a general nature to First Nations, organizations, and the public

· Provides technical assistance for presentations, meetings, and gatherings as required

· Assists in the planning, coordination, and preparation for special events, meetings, and gatherings

· Processes mail and emails and maintains the program’s filing system

· Adheres to SCO policies and procedures in the areas of privacy, confidentiality, and file storage

· Office reception duties as required including direct client service in a fast-paced environment

· Strong organizational skills with the ability to prioritize assigned tasks and meet deadlines

· Other duties as assigned

· May be required to travel on occasion by land or by air

EDUCATION AND QUALIFICATIONS:

· Certificate/Diploma in Office Administration or Office Management

· Minimum of 5 years related work experience in an administrative role

· Extensive experience managing budgets and bookkeeping

· Advanced skills in coordination and operation of online videoconferencing platforms such as Zoom, Skype, and Microsoft Teams is essential

· Proficient in keyboarding skills and the use of computers including Microsoft Word, Excel, Outlook, PowerPoint, and Adobe is essential

· Self-starter with demonstrated organizational and problem-solving skills, as well as multi-tasking abilities, and the ability to work within a team environment

· Demonstrated high level of competency in coordination, communications, and administration

· Ability to apply discretion when dealing with confidential or sensitive information

· Ability to handle pressure in a fast-paced political organization and in time sensitive situations

· Advanced minute taking and proofreading skills

· Must have a demonstrated understanding of First Nations culture and traditions

OTHER REQUIREMENTS:

· Must provide a satisfactory Criminal Record Check

· A valid Class 5 MB Driver’s License with access to a reliable vehicle for occasional business travel
