Job Title: Project Administrative Associate

Location: Redwater, AB

Schedule : M-F (40 hrs/week)

Job Type: Hybrid

Contract length: 6-9 months (possibility for extension)

Anticipated Start date: April or July, 2024.

About the Role:

  • Provide administrative support for project operations with a focus on procurement and document control.
  • Maintain accurate records of procurement activities including purchase orders, invoices, and vendor contracts.
  • Create and maintain organized filing systems for project documentation, ensuring easy retrieval and access.
  • Assist in the creation and distribution of project-related documents such as reports, presentations, and correspondence.
  • Monitor and track project expenses related to procurement activities, ensuring adherence to budgetary constraints.
  • Collaborate with project team members to ensure compliance with document control procedures and quality standards.
  • Provide administrative support for meetings, including scheduling, preparing agendas, and taking minutes.
  • Assist in the development and implementation of process improvements to enhance efficiency in procurement and document control processes.
  • Review contractors submitted progress payments.
  • Assist in coordination of site service groups.
  • Assist in planning and logistics for safety celebrations and other project related lunches or activities.
Skills / Qualifications
  • Bachelor’s degree in business administration, Management, or a related field would be an asset.
  • 5+ years of experience in administrative roles with a focus on procurement and document control.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with document management software.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
  • Attention to detail and a high level of accuracy in managing documentation and procurement records.
  • Knowledge of procurement processes, including sourcing, vendor management, and contract negotiation would be an asset.
  • Familiarity with document control procedures, including version control, archiving, and record retention would be an asset.
  • Ability to work independently and as part of a team, demonstrating initiative and problem-solving skills.
  • Flexibility and adaptability to meet changing project requirements and deadlines.
  • Strong analytical skills with the ability to interpret data and generate reports as needed.
