Core Functions

Justice Projects Officer is responsible for carrying out various secretarial, clerical and general office administration. More specifically, the incumbent, in collaboration with the Manager of Justice Services, is responsible for enabling the use of and supporting the activities and processes of all the courts within the Cree justice facilities. The Justice Projects Officer is also responsible for working with other clerks and administrators on providing enhanced services in the courtrooms, and in the processing of any fines or donations related to by-laws, court orders highway traffic offence agreements or other governmental or community-related arrangements.

Functional Responsibilities:

  • Assist the general public, court personnel and other involved parties with general inquires such as court schedules, procedures, or other related information.
  • Assist the Manager of Justice Services with the preparation of communiqués for the Justice department.
  • Work with court organizers and clerks to provide support for the hosting of the court sittings within the Cree communities.
  • Work with court clerks to provide support for recording of case dispositions, court orders, or arrangements made for payment of court fees.
  • Notify Manager of Justice Services of any issues impacting the delivery of court sessions in the Cree communities.
  • Monitor the schedule and budget of the Justice Committees and ensure follow-up.
  • Develop and implement policies regarding the general usage of court facilities.
  • Advise judges, lawyers, staff and the public on administrative policies and procedures.
  • Work with court personnel to develop and implement processes to improve case management and court services.
  • Assist in administering land-based funds, including maintenance, usage, reporting, asset management, and coordination with the Community Justice Officer.

Interaction/Communication Responsibilities:

  • Communicate with public security and justice personnel from the judicial district to ensure adequate preparation for court sessions.
  • Act as a liaison with the Manager of Justice Services between Eeyou Eenou Police Force (EEPF) and Correctional Services actions related to schedules, procedures and processes.
  • Liaise and collaborate with Capital Works and Services department for the maintenance and usage of justice facilities to ensure all staff are provided with a safe work environment.
  • Liaise with IT staff to ensure IT and telecommunication services are provided for all justice facility users.
  • Collaborate with the Manager of Justice Services for the assessment of system improvement initiatives, such as proposed policies and procedures, and the collection of by-laws.

Administrative Responsibilities:

  • Maintain, organize and audit documents necessary to support the courts or other bodies related to justice.
  • Communicate dockets or court calendars of cases to be called for better efficiency and clarity on court days.
  • Answer inquiries from the general public regarding judicial procedures, court appearances, trial dates, adjournments, outstanding warrants, summonses, subpoenas, witness fees, or payment of fines or donations.
  • Assist personnel to prepare and issue orders of the court.
  • Prepare periodic and special reports, manuals and correspondence such as recordings of court proceedings.
  • Instruct parties about timing of court appearances.
  • Assist in the administration of fines, donations and payments with communities, EEPF or other organizations to ensure payments and proper tracking of conditions and follow up with courts.

Other Responsibilities:

  • Maintain up-to-date knowledge and skills in area(s) of responsibility.
  • Perform other duties as required.

Qualifications

Education:

  • College Diploma in Business Administration, Judicial Administration, or related field.

Experience:

  • Three to five years of relevant work experience.

Language:

  • Fluency in English.
  • Fluency in verbal Cree is an asset.
  • Fluency in French is an asset.

Knowledge and Abilities:

  • Good project planning and implementation skills.
  • Customer-focused and service-oriented.
  • Proven ability to communicate effectively.
  • Proven ability to be discreet and maintain confidentiality.
  • Strong organizational skills and the ability to coordinate multiple projects.
  • Strong judgment and proven ability to problem-solve.
  • Demonstrated ability to take initiative.
  • Demonstrated ability to work under pressure and to adapt to a changing environment.
  • Proficiency in Microsoft Office products.

Additional Requirements:

  • Typical office setting where there are no unusual physical demands.
  • Willingness to travel frequently.
  • Must be able to pass provincial and federal security screening.

The Cree Nation Government may, at its discretion, waive any or all of the aforementioned requirements if a suitable candidate who is a JBNQA beneficiary accepts to follow a training plan determined by the Cree Nation Government as a condition of employment.
