Markham ON, Canada Green Infrastructure Partners Full time

Reporting to the Team Lead, Estimating Coordinator, the Proposal Coordinator will be responsible for assisting with the coordination, and support of proposals, expressions of interest and assisting estimators with the administrative portion of the bidding process.

Primary Scope of Role :

  • Order, print and upload the client proposal / bid documents, to the shared drive.
  • Develop / manage shared calendars with all important deadlines around the proposal/bid
  • Create templates for proposals, resumes and project sheets
  • Coordination of Insurance and Bonding
  • Track and ensure proposal / bid deliverables required are met, including organizational charts, project sheets, resumes, health and safety forms, proposal / bid forms, finance support letters and write-ups from various authors;
  • Manage SharePoint or other document management systems
  • Organize, log, distribute and save bid / proposal inquiries and addenda.
  • Maintenance and distribution of internal Proposal and Bid list
  • Submission of MTO / Municipal / Private tenders on various bid platforms.
  • Process Contracts on awarded Tenders.
  • Management of various tracking spreadsheets.
  • Provide general administrative support to senior management, and;
  • Other duties asassigned.

Position Requirements:

  • Post-secondary education or experience in marketing / administration
  • Intermediate to Advanced level of Microsoft Word, Excel and PowerPoint
  • SharePoint Administration experience
  • Ability to read and understand complex RFP / Bid requirements.
  • Knowledge of bidding systems such as RAQs, Bids & Tenders, Biddingo, MERX, Metrolinx, Bonfire
  • Results-driven with a focus to deliver success in a fast-paced environment.
  • Outcome-focused, critical thinker with the ability to analyze and visualize to ensure continuous improvement across our business.
  • Ability to connect and interact with people to seek different perspectives.
  • Superb communication and interpersonal skills
