Feed the Need in Durham is seeking a Community and Events Officer to join our team for a maternity leave contract of approximately 12 months, with the possibility to extend a permanent position for the right candidate.

Reporting to the Director of Corporate Partnerships and Communication, the Community and Events Officer is responsible for developing and executing various peer-to-peer, virtual, and in-person fundraising, cultivation, and stewardship events and will provide administrative support for the Department of Fundraising and Communications.

SPECIFIC RESPONSIBILITIES

Administrative Duties  

  • Provides administrative support for the Development and Communications Department. 
  • Act as the first point of contact for community inquiries by phone, e-mail, and walk-in, ensuring requests are fulfilled while exploring opportunities to build community and donor relationships further. 
  • Support the Director of Development by preparing packages, thank you letters, and materials for committees, volunteers, and donors. 
  • Helps maintain donor records' data health in the organization's CRM platform, Raiser’s Edge. 

Event Management – Signature & Third-Party Events  

  • Lead the planning and execution of all in-person, virtual and hybrid recognition, stewardship and cultivation events such as announcements, grand openings, unveilings, cheque presentations, community events and tours. 
  • Create detailed work plans for all events, managing workflow to ensure goals are met on time; play a driving role in fostering cross-team collaboration. 
  • Plan and execute all event logistics, including developing event communications collateral, liaising with vendors, overseeing volunteer management, event registration, event set-up and tear-down, event execution, and post-event follow-up. 
  • Is responsible for supporting income and expenditure targets based on the approved budgets for each event. 
  • Conduct post-event analysis and evaluation, including drafting debrief reports. Provide post-event coordination, including outreach via online surveys, collecting and tracking data, and participation. 
  • Complete administrative responsibilities for event delivery, ensuring an accurate record of all events is held in the database. Ensure the maintenance of up-to-date donor records and lists, including in the organization’s CRM platform, Raiser’s Edge. 
  • Manages and provides event and marketing support for third party fundraisers. 
  • Attends and represents FTND at community fundraisers and events. 
  • Promotes community engagement opportunities at community forums, talks and presentations.
  • Prepare donor thank you letters for third party fundraisers.
  • Manage third party CRM platform, JustGiving. 

Donor Stewardship  

  • Works with the Director of Development to implement the stewardship strategy to strengthen long-term relationships with donors and community partners 
  • Ensure that details of stewardship plans are compiled and communicated to all involved. 

Work Environment  

  • This role is a 12-month contract working 37.5 hours a week and requires onsite presences Monday – Friday at Feed the Need in Durham’s office located at 371 Marwood Drive, Oshawa. 

 

Qualifications  

  • Minimum 3-5 years of event experience, corporate sponsorship, and/or fund development. 
  • Must be willing to work some evenings and weekends, as required for events.
  • Demonstrated experience supporting the planning and execution of philanthropic events. 
  • Proficient in the Microsoft Office suite of products and electronic databases. 
  • Experience with Raiser’s Edge is advantageous. 
  • Excellent written and verbal communication skills and meticulous attention to detail. 
  • Strong organizational skills to determine work priorities and manage multiple projects. 
  • Sharp attention to detail and ability to review and edit materials (e.g., briefings, event printed materials). 
  • Exceptional organizational skills and ability to assess and correct processes and procedures. 
  • Ability to accept new challenges, be flexible and swiftly move between a variety of projects and work activities. 
  • Demonstrated tact, diplomacy, and interpersonal skills to liaise with management, staff, donors and volunteers. 
  • Ability to work both independently and within a team structure. 
  • Demonstrated ability to anticipate problems/conflicts and take appropriate actions to organize and prioritize work. 
  • Strong ability to plan strategically and see the bigger picture regarding stewarding, cultivating, and recognizing major donors and prospects through events. 
  • Experience with web/graphics/audio/video editing tools is considered an asset. 
  • Must have a valid driver’s license and access to a vehicle is an asset.
