Nous sommes à la recherche d’un·e coordonnateur·trice RH, administration et assistance de direction hautement organisé·e, proactif·ve et polyvalent·e. Ce poste hybride combine le soutien à la direction, la gestion administrative et le soutien RH , afin d’assurer le bon fonctionnement quotidien de l’entreprise et une expérience employé positive.
La personne retenue agira comme point de contact clé pour l’équipe de direction tout en gérant les activités administratives et RH avec professionnalisme et discrétion.
Assistance Exécutive & Administrative
Appuyer la réalisation de projets spéciaux, recherches, dossiers clients ou initiatives opérationnelles assignées par la direction.
Maintenir les systèmes de classement, modèles, dossiers SharePoint/Teams et outils internes de communication.
Maintenir des registres RH : suivis de recrutement, présence, certifications, formation, ainsi que la mise à jour de la base de données employés.
Aider à la coordination des avantages sociaux, mises à jour de politiques ou demandes administratives RH.
Appuyer les activités de développement des affaires : coordination des rencontres, mise à jour CRM, planification, relances et préparation de présentations.
Maintenir les suivis liés au développement des affaires : pipeline, journal des relances, échéanciers et priorités.
Gestion du Bureau
Superviser les opérations quotidiennes du bureau, incluant fournitures, achats et relations avec les fournisseurs.
Gérer l’accueil : présence, visiteurs, cartes d’accès et expérience générale en entreprise.
Maintenir les systèmes d’archivage physique et numérique : contrats, dossiers administratifs, registres et documentation générale.
Appuyer la logistique de déplacements, suivis d’achats et opérations courantes liées aux flux administratifs.

We are seeking a highly organized, proactive, and versatile HR & Admin Coordinator to support Human Resources, administrative operations, and executive functions. This hybrid role blends executive assistance, office management, and HR coordination , ensuring seamless internal operations and a positive employee experience.
The successful candidate will serve as a key point of contact for the executive team while managing day-to-day administrative and HR activities with discretion and professionalism.
Executive & Admin Assistance
Prepare agendas, meeting materials, presentations, summaries, and action-item trackers.
Coordinate executive and team travel arrangements, itineraries, accommodations, and expense reports.
Draft, edit, and format executive correspondence, internal communications, and documentation.
Support preparation and logistics for executive, partner, client, and board meetings (room setup, catering, materials).
Maintain confidentiality of all sensitive information, including corporate documents.
Assist with special projects, research tasks, client briefings, or operational initiatives assigned by leadership.
Maintain filing systems, templates, SharePoint/Teams folders, and internal communication tools.
Maintain HR-related trackers: recruitment, attendance logs, certifications, training records, and employee database updates.
Assist with benefit-related coordination, policy updates, and administrative requests.
Support light business development activities: meeting coordination, CRM updates, scheduling, follow-up reminders, and preparation of presentations or briefs.
Maintain BD-related trackers, pipelines, follow-up logs, and scheduling requirements.
Help organize internal communication tools and employee resources.
Office Management
Oversee day-to-day office operations, supplies, purchasing, and vendor relationships.
Coordinate reception duties, visitor experience, access cards, and office hospitality.
Coordinate facilities requests, maintenance work, cleaning schedules, furniture logistics, and service providers.
Maintain general office filing systems, physical and digital archives, contracts, administrative records, and office documentation.
Support internal activities, team events, office-wide communications, and logistics for company meetings.
Assist with travel logistics, purchase tracking, and operational follow-ups as part of office workflows.
3–5 years of experience in executive assistance, administration, or HR coordination.
~ Strong command of Microsoft 365 (Outlook, Teams, Excel, Word, SharePoint).
~ Excellent communication skills in English and French (spoken and written).
~ Experience with accounting or HR systems (e.g., QuickBooks or equivalent) is an asset.
~ Professional discretion and interpersonal tact in dealing with executives and staff.
