I.T. Asset Management Specialist - Software Management focused

This role is responsible for the management of software technology assets, focusing on optimizing the value and cost of technology assets throughout their life. This is done by establishing a technology life cycle that spans from asset discernment, procurement, operation, refresh, migration, optimization, and retirement/disposal of the asset.

This role is responsible for establishing the governance of this life cycle and providing an accurate account of all software technology asset life cycle costs to improve management of assets within the organization.

In this role you will be the central point for data analysis to support the effective management of software technology assets, whether owned and managed by IT, third-party service providers, or business units outside IT.

Key Responsibilities:

  • Process owner for software asset management
  • Develop and maintain the process and procedures required to successfully manage all aspects of software asset management
  • Create and maintain a list of all purchased software licenses globally
  • Maintain software compliance of all purchased software
  • Conduct internal audits of all installed software using tools such as SCCM and FlexNet Manager
  • Compare installed quantities to purchased quantities
  • Ensure type of use is compliant to licensing terms and conditions
  • Identify compliance gaps, analyze options, propose and coordinate resolution
  • Coordinate cross functional resources for successful completion of external compliance audits
  • Optimize software license utilization globally
  • Analyze software license models aligned to business use cases
  • Determine if more cost-effective / value add licensing model exists
  • Propose changes and coordinate implementation if approved
  • Define and implement software reclamation for user-based licenses and subscriptions
  • Interface with HR to include organizational changes in optimizing software usage
  • Facilitate subscription and maintenance renewals of enterprise strategic software including: Microsoft EA / SCE, Adobe, Siemens, Audodesk, …
  • Proactively engage supplier to initiate renewal process
  • Assess current license position, use cases, and near term needs to insure correct type and quantities of licenses
  • Negotiate with supplier best possible agreement to meet Husky needs
  • Facilitate renewal / procurement of software
  • Coordinate cross functional implementation of new software licensing keys
  • Owner of the Software Request process
  • Continually assess the Software Request process and update as needed to meet changing business needs
  • Review and approve Software Requests
  • Investigate use cases for the software request
  • Direct end-users to standard software wherever possible
  • Coordinate activities to procure and install non-standard software
  • Administer supplier portals for various software in alignment with business needs and in compliance with procured licenses
  • Microsoft, Adobe, Autodesk, …
  • Ensure that ITAM-related tools and services are properly evaluated, selected, implemented, configured and maintained, with appropriate integration with other sources of organizational data

Skills, Knowledge & Abilities Required:

  • Team player, in a fast-paced environment; comfortable interfacing with cross-functional global groups with minimal supervision
  • Ability to come along side end-users to understand their software needs and find creative solutions
  • Strong analytical, data processing and problem-solving skills
  • Quick Learner, ability to self-learn through a variety of online capabilities and willing to move forward with imperfect information knowing you can learn from mistakes that are made to improve the next time.
  • Strategic thinking - an understanding of strategic business objectives and the ability to develop a strategy for SWAM to drive results toward those objectives
  • Mature interpersonal and communication skills, both oral and written
  • Ability to galvanize external and internal stake-holders to align to policies and best practices of the Husky software asset management strategy
  • Negotiation skills to work with suppliers to accomplish the best outcomes for Husky
  • Ability to read and interpret license agreements to assess proper use and costs over the asset life cycle to include: license, subscription, and maintenance agreements
  • Policy, process, and procedure development and implementation
  • Fluent in English, additional language skills considered helpful

Qualifications:

  • An undergraduate degree in IT, engineering, business, computer science, or equivalent work experience
  • Experience working in IT, technical procurement, or contract negotiations
  • 1-3 years' experience in IT asset management or related field is helpful
  • Experience with SCCM, FlexNet Manager, and other license audit and monitoring tools is helpful
  • Knowledge of Microsoft Enterprise Agreement construct is an advantage
