This role is perfect for a highly organized, proactive individual who thrives in a collaborative environment and is eager to contribute to the success of our events and administrative operations.Important attributesHigh degree of accuracy and attention to detail.Ability to prioritize, multi-task, and work in a fast-paced environment.Strong communication abilities and customer service orientation.Excellent organization and time management skills.Willingness to go above and beyond.A proactive approach to problem-solving and decision-making.Primary Responsibilities:Provide administrative support to the CEO’s office, including managing calendars, scheduling meetings, managing expenses, and coordinating travel arrangements.Assist in the planning and executing corporate events, from initial concept to day-of logistics.Maintain and update databases, ensuring the accuracy and confidentiality of information.Attending to all receptionist duties, including answering the phone (Zoom-synched landline/desktop application) and directing out calls as neededSetting up and cleaning rooms before and after meetingsEnsuring that the front desk and reception area are kept clean and organized at all timesMaintaining kitchen orderliness and cleanlinessSupporting Senior Leadership with special projects as neededPerforming administrative duties such as filing and updating recordsSecondary ResponsibilitiesGreeting clients, visitors, and guests upon arrival, including seating and providing refreshmentsOrdering and receiving outside catering for meetings as requestedTraining a team of interns (2-3) on front desk duties and managing coverage schedulesOrdering office supplies and groceries and managing office inventory and budgetLiaising with building management and maintenance teamLiaising with external vendors & suppliersMaintaining company directory and team member contact listsAssist with recruitment effortsQualifications:Previous experience in an administrative support role.Proficiency in office software and a willingness to learn new technologies.Ability to work independently and as part of a team in a fast-paced environment.A degree or diploma in business administration, event management, or a related field is preferred.CompensationIndustry competitive compensation.Career advancement with demonstrated performance.
