Cad Railway’s delivery team will operate and maintain Metrolinx’s rail maintenance facilities in Etobicoke and Whitby, as well as in multiple overnight along with mid-day light servicing facilities located across the Metrolinx train service area.Summary of the role:The Payroll Assistant is a vital member of the Finance team, responsible for supporting the accurate and timely processing of employee payroll. This role requires meticulous attention to detail, excellent organizational skills, and a strong understanding of payroll processes and regulations. The Payroll Assistant will collaborate with HR personnel, employees, and external vendors to ensure that all payroll-related activities are executed efficiently, and employees receive their compensation accurately and on time.This individual will collaborate with the management team, customers, suppliers, partners and involved stakeholders. Core Accountabilities: Payroll Processing: Collect and verify employee timekeeping records, ensuring accuracy and adherence to company policies and regulations.Input and maintain employee data, including new hires, terminations, salary changes, deductions, and other relevant information in the payroll system.Calculate and process employee salaries, wages, bonuses, commissions, and overtime accurately and promptly.Review and reconcile payroll reports to identify and correct discrepancies.Benefits and Deductions: Administer employee benefits, including health insurance, retirement plans, and other deductions or contributions.Ensure accurate and timely processing of employee deductions, such as taxes, benefits, and garnishments.Monitor changes in payroll-related laws and regulations to ensure compliance with local, state, and federal requirementsRecord Keeping and Reporting: Maintain organized and up-to-date payroll records, both electronically and in physical files.Generate payroll reports for management, HR, and finance teams as needed.Prepare payroll-related data for audits and provide necessary documentation to auditors.Employee Inquiries and Support: Address employee payroll-related inquiries promptly and professionally.Assist employees in understanding their pay statements and resolving payroll-related issues.Collaborate with HR and finance teams to resolve payroll discrepancies and implement corrective actions.Timekeeping and Attendance Management:Review and approve employee timecards, ensuring compliance with company policies and regulations.Assist in implementing and maintaining timekeeping systems and processes. Compliance and Policy Adherence: Ensure adherence to company policies, payroll procedures, and internal controls.Monitor and enforce payroll-related compliance with local, state, and federal regulations.Payroll System Management: Collaborate with IT or software vendors to maintain and update the payroll system.Participate in testing and implementing system upgrades and enhancements.Qualifications:High school diploma or equivalent is required. An associate's degree in accounting, finance, or a related field is preferred.Proven experience as a payroll assistant, payroll coordinator, or in a similar payroll processing role is beneficial.Familiarity with payroll software and systems, such as ADP, Paychex, or similar applications.Knowledge of payroll principles, tax regulations, and employment laws.Strong mathematical and analytical skills with a keen eye for detail.Excellent organizational and time management abilities.Proficient in Microsoft Office applications, particularly Excel.Strong communication and interpersonal skills to interact with employees and team members effectively.Ability to handle sensitive and confidential information with discretion.Nice to have:working in an unionized environmentwith other industries such as Aerospaceworking in the rail industry with a comprehensive knowledge of rail equipmentCad Railway Industries Ltd. provides an equal opportunity as an employer and we are dedicated to continue to preserve a welcoming, safe and inclusive environment for every individual- no matter of age, race, ethnicity, nationality, sexual orientation, gender identity and expression, religion and disability status.
