As a crucial member of our administrative team, the File Opening Technician will play a pivotal role in maintaining the integrity of our client database, ensuring accurate file openings, managing essential conflict checks, meticulously ensuring the completeness of client information, collaborating with the accounts receivable team for accurate financial records, and handling filing clerk responsibilities. The ideal candidate should possess excellent organizational skills, attention to detail, and a strong understanding of legal nomenclature.ResponsibilitiesClient Database and Records ManagementUploading digital files and data.Organizing and archiving records and documents.Preparing reports; retrieving data and files on an as-needed basis.Ensuring the organization of matters in accordance with bar rules and requirements.Maintain and update the master client list to ensure accuracy and completeness.Review and analyze client information, paying special attention to details such as contact information, addresses, billing emails, etc.Rectify any duplications or discrepancies in nomenclature, ensuring a comprehensive and accurate client database.Conflict SearchingEstablishing and conducting conflicts of interest searches and processes, ensuring entities are correctly identified for conflict searching.Preparing conflict search results reports summarizing and filtering results informationAssisting in conducting semi-annual audits on conflict procedures to ensure proper procedures are followed.Answering access questions related to Ethical Screens/Confidential Matters.Creating and maintaining the firm’s Ethical Screens processes.Working with IT to ensure Ethical Screens are carried outFile Opening/Closing System OversightMonitoring the file opening system, with a particular focus on the completeness of information entered, including contact details, addresses, billing information, etc.Working with Lawyers, Legal Assistants and the others to open new matters as part of New Business IntakeEnsure that all necessary information is entered into the firm's case management system (Clio) in a timely and accurate manner.Working with Accounting to ensure the closing of matters is in accordance with the firm’s proceduresTroubleshoot and resolve any issues related to the file opening process.Collaboration with Accounts ReceivableWork closely with the accounts receivable team to ensure accurate client statements of account.Collaborate on client groupings to align with accurate billing and financial reporting.Address Manage discrepancies and collaborate on solutions to improve the accuracy of financial records.Filing Clerk Responsibilitiesphysical and electronic filing systems for client documents, ensuring proper organization and accessibility.Retrieve and file documents as needed, maintaining an efficient and organized filing structure.Assist in the development and implementation of filing protocols to enhance efficiency.QualificationsPost-secondary degree, diploma, or certificate.1-2 years working in a legal environment in a conflict role capacity preferredExperience in New Business Intake desirable.Experience with conflict, client onboarding, or timekeeper technologies desirable.Experience with Document Management systems preferred (the current system of the firm is iManage).Familiarity with legal nomenclature and terminology, an assetExperience in using case management systems, preferably experience with Clio.Excellent organizational and multitasking skills.Strong attention to detail and accuracy.Effective communication and collaboration skills.Joining KRB means making the choice to be fulfilled within a team of excellence and experience.Our talent is at the heart of our organization.
