Investment Advisor Assistant

The Client: A well-established wealth management firm seeks an Investment Advisor Assistant for their growing team. In this hybrid role, you will be responsible for supporting the Senior Client Service Associate and Portfolio Manager in the areas of client support, administration, workflow processing.

As the Investment Advisor Assistant, you will be responsible for:

  • Providing high-level of administrative support to the Portfolio Manager and Sr. Client Service Associate
  • Assisting the Portfolio Manager and Sr. Client Service Associate processing paperwork, entering data on electronic platforms, booking client appointments, and preparing client files for meetings and providing an ideal client experience
  • Assisting the Portfolio Manager and Sr. Client Service Associate with processing of business, using dealer-provided systems, and following up on transactions and transfers
  • Liaise with clients; handle phone calls and emails and respond to requests for information
  • Prepare professional correspondence and reports, documents, and files
  • Calendar management and scheduling meetings
  • Prepare client files for meetings and follow up on post meeting tasks
  • Execute trade orders under the supervision of the Portfolio Manager or Sr. Client Service Associate
  • Maintain the client database and pull reports from the system
  • Develop marketing initiatives


As the ideal candidate you possess:

  • Minimum of 2 years experience within either wealth management, banking or financial services AND possess knowledge of investment products
  • Though not necessary, preference will be given for those who have completed the CSC
  • Excellent communication and interpersonal skills
  • Excellent organizational skills, with a strong attention to detail
  • Demonstrated ability to meet deadlines and take initiatives
  • Ability to work independently, and effectively with other Aemployees and clients at all levels
  • Intermediate to advanced computer skills: good working knowledge of MS Office programs
  • Experience with Dataphile, and DocuSign an asset.
