We seek a Practice Manager to join our busy, 24/7 emergency practice. You will work alongside our Medical Manager to lead our team, and specific areas of responsibility include:

Primary responsibility for Human Resources and Compliance, supported by the Medical Manager:

· Recruitment, interviewing, hiring and onboarding of new employees and independent contractors

· Maintenance of confidential records and files in compliance with privacy-related legislation

·        creation and maintenance of total rewards (compensation, benefits, recognition) programs, with direction from the NVEC Board,

·        management of personnel training and development program, including regular team meetings and annual performance review and planning

· Supervision of employees and independent contractors and acting as the direct authority regarding disciplinary procedures, discharging, and all the legal responsibilities of employment and contractual relationships

·        understanding and ensuring compliance with occupational health and safety legislative requirements

Primary responsibility for Financial Management:

· Preparing and analyzing practice and financial reports, including maintenance of the chart of accounts, accounts for member clinics, monitoring financial trends, making projections, and long-range fiscal plans; reporting identical to the executive board and partnership for review and approval

·        managing payroll, including accurate processing of payroll bi-weekly using Wagepoint by direct deposit and coordinating with MNP bookkeepers to remit EHT, EI, CPP and income tax amounts to the government

·        managing accounts receivable, using AVImark and Quick Books Online (QBO), including processing and completing deposits, managing credit collections, and coordinating with MNP bookkeepers to remit HST

·        managing accounts payable, using DEXT and QBO, and liaising with MNP bookkeepers to ensure accurate and prompt processing payment of vendor accounts and staff expenses by electronic funds transfer and manual payment

· Overseeing daily and monthly banking procedures, including multiple accounts, credit accounts, and electronic funds transfer processes

· Consulting with the practice's accountant(s) as required to ensure completion of annual audits, financial statements and completion of tax documents and processing and distributing annual disbursements for partners

Primary responsibility for Partnership and Governance Support:

· Coordinating quarterly Executive Board meetings, the Annual General Meeting (each March), and ad hoc meetings as needed, and completing Management Reports and Financial Statements, and maintenance of the partnership Minute Book

· Coordinating communication with the partners and member clinics on behalf of the Executive Board and management

·        primary contact, on behalf of the Executive Board, with legal and accounting representatives regarding the partnership, the partnership agreement review/changes, annual auditing processes, annual valuation of the practice and individual partnership interests, and all tax processes

· Organizing and liaising with legal counsel for the completion of purchases or sales of interests in the partnership to/from member clinics

Additional areas of responsibility include Marketing, Information Technology and General Clinic Maintenance

Our ideal candidate is an experienced leader and manager. You are an excellent communicator and a committed and compassionate leader passionate about creating a strong, healthy, positive team environment while ensuring the delivery of exceptional, quality emergency medicine.  You are a strategic thinker ready to be creative and think outside the box when dealing with the many challenges in today’s veterinary industry. Given the nature of managing a 24/7 operation, this position requires flexibility and adaptability. Primary work hours are Sunday through Thursday, but shared on-call work is also part of the position. Experience in the veterinary industry is helpful but not required. Experience in human resources and financial management is necessary, and experience leading a team in a small business or non-profit would be a great fit.
