Marketing Coordinator

Position: permanent, full-time (40 hours a week), physically based in-office at 1801 Hollis, Halifax.

EastPoint is a multi-disciplined architectural and engineering firm based in Halifax, Nova Scotia. Owned by its management and senior employees, EastPoint’s leadership has worked together as a team for more than 20 years and is the successor firm of Whitman Benn and Associates, which originated in 1933. From goal setting through to execution, you play an integral role in motivating teams to deliver high-quality products in a technical, deadline-driven environment. You enjoy a blend of working in teams and working independently.
  • A writer: You are always looking for the bigger story and enjoy the opportunity to develop content, whether it involves combing through technical reports or interviewing subject matter experts. You are adept at writing concisely, professionally, and persuasively to organize and present information suited to your intended audience. You’re comfortable with unpacking technical content into a broader context. Your writing addresses the “so what” and relates back to key messaging.
  • A visual communicator: Compelling marketing material involves strong writing supported by symbols, imagery, and graphics to help tell the story. You seek opportunities to reduce text where an infographic, diagram, timeline, chart, or table will do. You’re interested in learning about new tools of the trade to do your job even better.
  • A market researcher: You thrive in a STEM environment and are innately curious about how buildings and infrastructure developments progress from early design to a final built product. You like keeping up-to-speed on the industry and the economy and are comfortable pulling together information from various sources into key summaries and takeaways.

How You’ll Be Involved

Reporting to the Marketing Manager, you will work closely with and support our business development team in the following areas:

Marketing Collateral

  • Brand ambassador: development and deployment of brand standards and templated material for consistent voicing and presentation to internal and external audiences
  • Draft EastPoint branded CVs for new hires, support ongoing maintenance
  • Contribute to creation and updating of marketing material, examples including:
  • Project descriptions, service descriptions
  • Team biographies and resumes
  • Qualification packages
  • Manage employee headshots photography program
  • Support project photography strategy – collecting high-quality employee-taken pictures, flagging key projects to track for photography, and managing external photographers

External Marketing

  • Social media channels (LinkedIn, Instagram) – contribute to proactive content strategy and approach, create content for review, manage accounts, integrate quality processes. Responsible to manage calendar of planned activities, solicit support as required
  • Support/identify/track events and conferences (e.g. abstracts, sponsorships, presentations, physical presence at event)
  • Support website content and updates
  • Update corporate profiles (associations) as required
  • Track and support award submissions
  • Promote thought leadership through various channels (posting stories on website and social media, proofreading articles and white papers for publications)

Business Development and Project Support

  • Track the BD and Opportunities inboxes, and generate proposal folders utilizing our accounting software, Ajera.
  • Pull information from public tender sites and place in proposal folders
  • Direct BD-related messages to appropriate parties
  • Support updates to internal filing structure
  • Support market research needs and client qualification packages
  • Support Project Managers on select project deliverables (presentations, branded elements for reports, meeting notes, copyediting) to gain further familiarity with business operations.
  • Microsoft 365 Strategy – best practices for utilizing Teams and SharePoint

Proposal Support

Involvement in day-to-day proposal process from RFP issue, go/no-go decision, through to content preparation and submission. Support win strategy developed for larger/complex competitive pursuits.

  • Coordinate proposal team to stay on track and accountable to deadlines, proposal kick-off meetings, schedule and drive internal workbacks/milestones,
  • Determine requirements from public and private sector Requests for Proposals (RFPs), disseminate requirements
  • Gather required information (insurance, certificates) and complete mandatory submission forms
  • Develop framework for proposal response, manage working copy of proposal response document
  • Draft content or source existing content to support proposal requirements (such as project understanding, CVs, biographies)
  • Graphic design for covers, organization charts, and basic diagrams
  • Integrate proposal activities within EastPoint quality framework
  • Submit content as required within deadline, ensure documentation is saved in proposal folder

Skills / Training Requirements

  • Minimum 2-4 years of related experience. Experience in a STEM organization or in a professional services firm is an asset.
  • Degree or Diploma in business or related studies (i.e., marketing, public relations, journalism).
  • Demonstrated writing ability. Shortlisted candidates may be asked to provide writing samples.
  • Self-starter with ability to manage multiple tasks and meet deadlines.
  • Exceptional communication skills and ability to work across internal and external teams.
  • Understanding of current communication tools, trends, and technology.
  • Proficiency in Adobe Creative Suite (InDesign, Photoshop, Adobe Acrobat as core applications; Illustrator, Lightroom, Premiere Pro as secondary applications).
  • Intermediate proficiency in Microsoft Word: ability to customize styles and headers, optimize page and document appearance, insert graphic elements, manage table data, insert cross-references. Experience managing medium-sized documents (20-50 pages).
  • Intermediate proficiency in Microsoft PowerPoint: custom templates, interactive presentations, visual emphasis, use of slide masters.
  • Basic proficiency in Microsoft Excel: modify existing templates, perform filter and sorting tasks, utilize basic formulas and functions.
