Job Summary:

The Purchasing and Production Scheduling Coordinator is responsible for coordinating and managing the procurement of materials and the scheduling of production activities to ensure efficient and timely production processes. This role involves working closely with suppliers, production teams, and other departments to maintain optimal inventory levels, minimize production delays, and meet customer demands.

Key Responsibilities:

Purchasing:

  1. Procure Materials and Supplies:
  • Source and purchase raw materials, components, and supplies needed for production.
  • Evaluate and select suppliers based on price, quality, and delivery performance.
  • Negotiate contracts and terms with suppliers to achieve cost savings and reliable supply.
  1. Inventory Management:
  • Monitor inventory levels to ensure sufficient stock without overstocking.
  • Implement inventory control procedures to minimize waste and obsolescence.
  • Conduct regular inventory audits and reconcile discrepancies.
  1. Supplier Relationship Management:
  • Maintain strong relationships with suppliers to ensure timely delivery of materials.
  • Address any issues or discrepancies with orders, deliveries, and invoices.
  • Assess supplier performance and develop improvement plans as needed.

Production Scheduling:

  1. Develop and Manage Production Schedules:
  • Create and maintain production schedules to meet customer orders and demand forecasts.
  • Coordinate with production managers to ensure schedules are feasible and aligned with capacity and resource availability.
  1. Monitor Production Progress:
  • Track production progress and identify any delays or bottlenecks.
  • Adjust schedules as necessary to accommodate changes in demand, resource availability, or unexpected disruptions.
  1. Communicate and Collaborate:
  • Communicate production schedules and changes to relevant departments, including production, quality control, and logistics.
  • Collaborate with cross-functional teams to resolve scheduling conflicts and ensure smooth operations.

Qualifications:

Education and Experience:

  • Bachelor’s degree in Supply Chain Management, Business Administration, Industrial Engineering, or a related field.
  • Minimum of 2-3 years of experience in purchasing, production scheduling, or a similar role in a manufacturing or production environment.

Skills:

  • Strong understanding of supply chain and production processes.
  • Excellent organizational and time management skills.
  • Proficiency in inventory management and production scheduling software.
  • Effective negotiation and communication skills.
  • Ability to analyze data and make informed decisions.
  • Problem-solving skills and attention to detail.

Working Conditions:

  • Primarily office-based with regular visits to production areas and occasional travel to supplier sites.
  • Fast-paced environment with tight deadlines and the need to manage multiple priorities simultaneously.

Key Performance Indicators (KPIs):

  • On-time delivery of materials and supplies.
  • Accuracy of production schedules.
  • Inventory turnover rate.
  • Supplier performance metrics.
  • Production efficiency and output rates.

Additional Requirements:

  • Certification in supply chain management or production and inventory management (e.g., APICS CPIM or CSCP) is a plus.
  • Knowledge of lean manufacturing principles and practices is desirable.
