JOB SUMMARY:

The Stewardship Officer is an experienced Advancement professional (with a strong donor relations orientation) who recognizes the critical importance of effective stewardship of donor and volunteer relationships in creating and sustaining long-term engagement.

Nature of work: This position reports to the Manager, Stewardship and Recognition Cubicle – Open exposure to background noise Travel is required a few times a week between 61 Charles, north location and occasionally Windfields Farm Lands. Travel is also sometimes necessary for donor deliveries and events Hours of work can involve evenings/weekends, dependent on donor events MAJOR DUTIES & RESPONSIBILITIES:

1.Recognition Planning and Management:

Provides planning and opportunities to build and sustain close relationships between major and annual donors, volunteers and Ontario Tech Builds donor and volunteer engagement and trust to ensure long-term support of Ontario Tech Works with other Advancement staff and in liaison with Communications and Marketing event team; creates and plans large meetings and events that advance donor involvement, recognition and stewardship towards the realization of Ontario Tech’s campus master plan Creates appealing opportunities for major donors to experience firsthand the impact of their giving Organizes cheque presentations and media announcements Assists with selection of appropriate donor gifts and coordinates their distribution Manages logistics associated with the cultivation of Ontario Tech prospective donors and continues to strengthen donor affinity through successful execution of these cultivation events

2.Stewardship and Recognition Systems, Policies and Procedures:

Manages and maintains donor societies and naming opportunities inventory Liaises with external contractors on installation of donor recognition systems and vehicles including plaques, signage, print and digital communications and manages ongoing updating of these systems Maintains processes to ensure fulfillment of recognition and stewardship obligations Ensures donor records are updated regularly to reflect stewardship activities planned and executed Assists in the strategic development and maintenance of policies and procedures to ensure effective stewardship of donors and volunteers Functions as a knowledge expert regarding donor relations, recognition, stewardship and events Identifies best practices at other organizations for stewardship/donor relations planning and operation Ensures recognition offered to donors is equitable, proportionate and consistent

3.Communications Coordination:

Works with Communications Team and creates appealing customized annual stewardship reports in various media, thanks the donor, accounts for the use of the donor’s gift and updates donor on progress towards the realization of the Ontario Tech priorities Ensures donors are kept up-to-date on university happenings and events via emails and e-vites

Reporting and Acknowledgement:

Writes fund/endowment reports to thank and reports on progress to donors who have established special funds for awards, scholarships, chairs, etc., and organizes distribution of reports to Senior Development Officers for hand-delivery of reports Writes personal acknowledgement and stewardship letters for signature by senior leadership team and deans, board members, key volunteers and Advancement team

5.Customized Stewardship Planning:

Creates innovative customized stewardship plans that provide annual and major donors with public recognition and optimal opportunities to learn impact of their gifts in meeting Ontario Tech priorities Ensures approved plans are communicated, updated in the database and executed Utilizes university events and external occasions that could assist in donor and volunteer engagement Acts as a liaison between student award recipients’ donors and coordinates stewardship meetings Manages logistical activities associated with the cultivation of Ontario Tech prospective donors and continues to strengthen donor affinity through successful execution of these cultivation events

6. Financial Administration and Promotional Inventory:

Assists in the development of the annual Stewardship budget Works with the Financial Officer to monitor projects and ensure that costs are falling within projected budget and/or assists in adjusting accordingly when required Manages promotional budget and is responsible for selection, procurement and inventory of all Advancement promotional items

Required Skills:

Outstanding communication skills in all aspects: visual, written, verbal and public speaking Strong decision-making skills Have a thorough understanding of Ontario Tech donor recognition policies Have a thorough understanding of the university’s awards/scholarships structure, endowment policies and investment strategies

Required Education: 

Completion of a Formal Post-Secondary/College/University Program of Three Academic Years
(over 3 years and including 5 years) in communications, public affairs, marketing or related discipline

* Verification of Academic credentials may be required

Required Experience: 

Minimum three to five years professional stewardship experience required, ideally in a university fundraising environment
