Helical Pile Solutions, a leading deep foundations contractor with over 30 years of experience in the industry, is currently seeking a Safety Manager to join our team in Nisku. We are a subsidiary of Java Holdings Ltd. (“Java”), a company with over 50 years of experience in building large-scale electrical infrastructure projects across Canada.

As the Safety Manager, you will be responsible for overseeing and implementing our comprehensive safety program to ensure the well-being of our employees and adherence to industry regulations. This is a critical role within our organization, as we prioritize the health and safety of our workforce.

Responsibilities:

Bids / Tenders

  • Contribute to pre-qualifications and bids as required by providing HSE statistics, and other required deliverables (includes manual documents, samples plans, clearance letters, insurance certificates etc.)
  • Contribute to pre-qualifications and bids by developing project specific plans aligning with the requirements identified by the RFP / RFQ and scope of work.
  • Maintain Client Vender Management systems with up-to-date health and safety information, i.e. ISNET, Comply Works, Avetta.

EE Engagement Onboarding

  • Set up, distribute and verify employees successful completion of pre-employment or pre-access Drug and Alcohol Testing.
  • Set up, distribute and verify employees successful completion of pre-employment / Pre-access safety training (Client specific; CSTS, WHMIS) follow up with applicant as needed

HSE Communication & Promotion

  • Update the company Health Safety and Environmental program, policies, and procedures, ensuring alignment with other overlapping internal business functions, and alignment with overall company objectives and visons.
  • Ensure safety boards with postings including but not limited to: Health and safety policy, inspection and audit results, project hazard assessment, location of first aid, JHSC meeting minutes etc. are maintained and current.
  • Facilitate regular meetings with the safety team to review issues, trends and upcoming conditions or events.
  • Regularly review and be familiar with all applicable legislation and applicable standards, to ensure compliance.

  • Inform the management team and supervision of any new or conflictive legislative matters that could impact the project or operations.

HSE Program Leadership

  • Support field leadership in the consistent application of the disciplinary process, such as conducting and documenting one on one safety coaching and mentoring with their direct reports.
  • Provide expert safety advice and support to the projects, function, departments, by maintaining a visible presence, accessibility, and performing periodic site visits, and required documented safety observations and inspections.
  • Provide Health and Safety expertise that will guide the company for decision making on projects and program / initiative rollout.
  • Obtain necessary approvals from appropriate business function groups in assigned project areas to support safety project execution/implementation.
  • Collaborate with the safety team to provide regular project updates for their assigned business function and ensure on time, on-budget and on-target implementation of strategies for their stakeholder groups.
  • Facilitate discussions on the company safety approach for business initiatives; analyzes and evaluates existing/new programs, systems, and tools/equipment to ensure they are meeting the desired outcomes.
  • Plan, prepare, writes, edit, produces and implement materials, including Policies, project specific safety plans, procedures, etc. for various internal and external audiences and mediums that enhances the awareness and understanding of organizational and operational programs, projects and initiatives, and supports stakeholder engagement
  • Provide support and resource to all site managers, supervisors, and foreman.
  • Provide direction, advice and support to direct reports and project team to ensure compliance with company policies and procedures; as well as those outlined by legislation or our clients.
  • Collaborate with other departments which also includes follow up with specific employees on their input and/or required deliverables

HSE Reporting

  • Prepare weekly & monthly safety reports including incidents, stats, and upcoming events and forward to the appropriate project team / client / management team.
  • Measure reports on key performance indicators, and prepare corrective action plans as applicable.

Incident & Injury Management

  • Ensure injured workers are offered modified duties and documentation has been completed. Monitor and follow up on modified workers in the field.
  • Ensure that all incidents are reported immediately, and notification timelines have been met as per the Incident Management Policy.
  • Participate in and/or provide direction to others conducting incident investigations, review site incident investigations, including making recommendations, and sustainment plans to eliminate or control future risk.
  • Complete and follow up on employee injury reports with appropriate WCB. Laisse with workers, field staff and WCB as required on injury claims.
  • Review all incident reports for accuracy, ensuring all final incident reports are forwarded to company leadership within required timelines as per the incident management policy.   All non-compliance is followed up on and appropriate actions taken, reported and documented.

Inspections and Monitoring

  • Create, monitor, and follow up on corrective action items generated from incident, inspections, audits in appropriate tracker or software, and close out actions hen complete.
  • Communicate and document any significant issues or concerns to the management team, supervisors, and / or foreman for development and implementation of corrective action plan.
  • Monitor WHMIS program to ensure alignment between hazardous products on site and the hazardous product inventory
  • Assist with the preparation of reports and documents for internal and external audits.
  • Compile documents and data to comply with client / external audits corrective action requirements.

Training

  • Identify training vendors, ensuring alignment with company needs, standards, and regulatory needs.
  • Ensure all training documentation and records input to the training records system and a copy is placed on the employee master file.
  • Regularly review and become knowledgeable of the training materials, and practical training components and present any improvements.
  • Transfer knowledge and expertise to trades in the field through various modes such as; coaching and mentoring and formal and informal training of field staff.
  • Assist in the review and /or development of training materials in consultation with the a 3rd party, client, Project Team, Supervisor, and/or management.

Subcontractor Management

  • Complete subcontractor audits with in 30 days of starting on a project and at required interval frequency.
  • File completed subcontractor management prequalification forms in the approved document control system.
  • Ensure ALL subcontractor workers have received a company orientation, and records are stored accordingly.

Requirements

  • 5+ years of experience in occupational health and safety management
  • Comprehensive knowledge of relevant safety legislation and industry standards
  • Minimum active National Construction Safety Officer (NCSO) Certification, or Health & Safety certificate from a post-secondary institution. Safety Professional accreditations such as CRSP, CUSP, CHSC, etc.; are an asset.
  • Experience in conducting safety training sessions
  • Strong analytical and problem-solving skills
  • Excellent communication and interpersonal skills
  • Attention to detail and ability to work independently
  • Proficiency in Microsoft Office Suite and other safety management tools
