What we are looking for:

Under the supervision of the Director, Financial Statements and Unitholder Recordkeeping, the Manager, Unitholder Recordkeeping will provide oversight for a growing team focused on facilitating the internal and external recordkeeping management of unitholder transactions. The role will be exposed to a vast range of public and private funds with a multitude of investment strategies (fixed income, equity, alternative, etc.). The Manager works closely with and in support of the Client Service, Portfolio Management and Trading teams, to ensure timely and accurate processing of trade and cashflow information. The Manager will provide strategic leadership, drive industry best practices and participate in the implementation of continuous process improvement and business procedure initiatives. The candidate will work in a highly collaborative and fast-paced environment whereby attention to detail (financial exposure), operational risk, and client focus are must have traits.

Your responsibilities:

Team Leadership:

Lead and manage a team of recordkeeping professionals, providing guidance, support, and training as needed. Set clear goals and expectations for team members, monitoring performance and providing feedback to ensure high-quality work. Foster a collaborative and inclusive work environment that promotes teamwork, innovation, and professional growth. Empower team members to participate in and lead high profile projects that will promote growth and effectiveness. Lead by example and keep employee’s workload manageable and challenging. Advocate on behalf of the team in any arena where they need a voice.

Recordkeeping Operations:

Oversee the maintenance of accurate records of unitholders, including purchases, redemptions, transfers, and account maintenance activities. Ensure timely and accurate processing of transactions, adhering to internal policies, procedures, and regulatory requirements. Review and approve recordkeeping transactions, ensuring compliance with industry standards and best practices. Maintain and strengthen relationships with internal clients, custodians and third-party vendors. Serve as an escalation point of contact regarding account inquiries, transactions, and other related matters. Address client concerns, resolve issues, and provide assistance in a timely and professional manner. Collaborate with customer service teams to ensure a seamless investor experience and maintain high levels of satisfaction. Continuously evaluate and enhance recordkeeping processes and systems to improve efficiency, accuracy, and scalability. Identify opportunities for automation, standardization, and optimization, implementing solutions to streamline operations. Ensure compliance with applicable laws, regulations, and industry standards governing recordkeeping operations.

Must have requirements to be successful in this role :

Education and accreditation

Bachelor's degree in finance, business administration, or a related field. Completion or pursuit of professional certifications, such as the CFA or FRM designations, is an asset. Other industry certifications not mandatory but considered assets (e.g. Canadian Securities Course).

Experience and specific skills

Proven experience (typically 5+ years) in investor services, recordkeeping, or operations within the asset management industry. Previous managerial or supervisory experience, with demonstrated leadership skills and the ability to effectively manage a team. Strong understanding of investment products, and related recordkeeping processes. Ability to work collaboratively and build solid relationships with internal teams. Self-motivated with continuous process improvement mindset. High attention to detail, and accuracy, within a high-volume, fast paced work environment. Excellent communication skills, both verbal and written, with the ability to interact confidently with colleagues, and senior management. Excellent knowledge of Microsoft Excel and other Office tools. VBA, Python and/or experience with Excel macros is an asset. In Montreal, bilingualism (French and English), spoken and written is required. In Toronto, excellent English, spoken and written, is required.
