The Alberta Jubilee Auditoria Society (“AJAS”) is a not-for-profit organization that emphasizes extraordinary patron services and fostering cultural development in both Edmonton and Calgary facilities. The Society is led by a Board of Directors with representatives from across Alberta and works with the Government of Alberta (GOA)’s Ministry of Culture and Status of Women to operate these legacy performing arts venues through front-of-house, back-of-house, marketing and community engagement services.

The Technical Coordinator manages collective agreements, oversees various crew and house staff, ensures compliance with health and safety standards, and performs a range of administrative tasks.

Duties and responsibilities:

Managing and negotiating the Causal and House IATSE Collective Agreements, for both locals 210 and 212.

Contract Management

  • Continually monitor all of the Agreements
  • Filing grievances and conducting investigations when required
  • Appropriately deal with any potential grievances towards AJAS
  • Foster a positive relationship with both IATSE locals
  • Be up to date on industry standards and aware of IATSE collective agreements in similar venues nationally, and how they compare to our own.
  • Participate in all IATSE negotiations
  • Be well versed in Alberta Employment Standards Code

 Show Related Casual Crew

  • In consultation with the Technical Coordinators, monitor the casual crew called, while tracking the hours worked by individual crew members
  • Work with the unions to schedule any required assessments, create new assessments, and update any previous assessments when necessary

Maintenance related Casual Crew / House Crew

  • Book casual IATSE crew for maintenance, submit timesheets to IATSE, and track all casual maintenance hours
  • Work with Government of Alberta (GoA)

House Crew – Principles and Alternates 

  • Oversee all scheduling of House Crew
  • Track the hours of the House Crew members, both Principles and the Alternates.
  • Track and monitor the hours worked, both in a show-by-show basis, as well long term. Indicate both the historic cost to crew specific types of shows and estimate the crewing cost for future budgeting purposes.
  • Assess the skillset of the Alternate Technicians, and book them for appropriate shows in SAJA
  • Review all timesheets and complete finance section for payroll purposes
  • Chair quarterly production meetings with both SAJA and NAJA.

Health and Safety

  • Submit all WCB forms for all IATSE crew, under the house crew agreements
  • Appropriately file and store all WCB forms for both FOH and BOH staff
  • Attend the GoA OH&S meetings as a representative for AJAS. Implement any initiatives that come from the meetings. 
  • Track and arrange all required safety training for IATSE staff, offering training options to GoA technical coordinators when appropriate

Administration for both SAJA and NAJA

  • Create cost management tracking of the different types of shows that come through venue
  • Continually monitor and assess forecasting formulas for IATSE crew
    • Create and update IATSE timesheets as required
    • Complete IATSE timesheets on a weekly basis to submit to Finance for remittance
    • Assist with the creation of AJAS yearly budgets, quarterly reports, and reforecasting
    • Facilitate communication between the GoA and the House Technicians on a day-to-day basis as well as chairing meetings when appropriate
    • Keep a current list of relevant training for the House Crew, when they expire, and book training as required. In addition, seek out additional training that would benefit the staff.
    • Assist with covering the front office desk when required

Community Engagement

  • Assist in the organization of Backstage Access, outreach programs, Jubefest and other in-house organized or produced events
  • Create a positive present for the Jubilee within the provincial theatre community
  • Expand and manage the internship program in conjunction with IATSE
  • Assist in the development of the technical programs withing the Jube School education environment

 

Qualifications:

  • Degree in Human Resources, Labor Relations, Business Administration, or a related field. Alternatively, solid experience in a similar role will be considered.
  • Significant experience in handling collective bargaining agreements, including negotiating, filing, and resolving grievances.
  • Proven experience in working with unions and managing unionized workforces.
  • Experience in scheduling, managing, and assessing casual and house crew members, particularly in a venue or event-based environment.
  • Experience in managing workplace health and safety protocols, including Workers' Compensation Board (WCB) form handling and safety training coordination.
  • Experience in budget creation, cost tracking, and financial forecasting related to crew and event management.
  • In-depth knowledge of employment standards and labor laws relevant to the industry, including the Employment Standards Code and related legislation.
  • Understanding of the technical requirements for various types of shows and the associated crew needs.
  • High level of accuracy and attention to detail, especially in managing contracts, timesheets, and cost tracking.
  • Strong problem-solving skills to address grievances, scheduling conflicts, and health and safety issues.
  • Excellent organizational skills to manage multiple tasks, from crew scheduling to administrative duties, efficiently.
  • Strong interpersonal skills for fostering positive relationships with unions, crew members, and other staff.
