POSITION OVERVIEW:

Startec Compression & Process is currently recruiting for a Project Coordinator – Heat Exchangers to work at our Glenmore Office (Suite 240, 4000 Glenmore Court SE, Calgary, AB T2C 5R8) in Calgary, AB. The Project Coordinator of Heat Exchangers will provide Project Management services to deliver projects on budget, and on schedule and ensure all project deliverables comply with the requirements of the project plan. Reporting to the Director of Projects, the Project Coordinator of Heat Exchangers will primarily be accountable for preparing cost estimates, writing proposals, assisting with the engineering and design, and following the orders through to delivery. The Project Coordinator of Heat Exchangers will work closely with engineering, procurement, and fabrication teams to ensure successful project outcomes. This role will provide project management support, encouragement, and heat exchanger expertise to support the growth and development of fellow teammates and co-workers.

KEY PERFORMANCE INDICATORS (KPI):

PROJECT INTITIATION & EXECUTION (Weighting 25%) Project Planning & Coordination Collaborate with project stakeholders, including clients, engineers, and contractors, to define project objectives, scope, and deliverables. Coordinate project activities, ensuring that tasks are assigned, deadlines are set, and progress is tracked. Maintain project documentation, including project charters, schedules, risk registers, and communication plans. Conduct regular project meetings to review progress, address issues, and provide updates to stakeholders. Resource Planning & Management Collaborate with project managers to identify resource requirements and allocate resources effectively. Coordinate with engineering and procurement teams to ensure timely availability of materials, equipment, and personnel. Monitor resource utilization and adjust as necessary to optimize project performance. Project Execution & Monitoring Oversee the execution of heat exchanger projects, ensuring adherence to project plans, technical specifications, and quality standards. Monitor project progress, track key performance indicators, and identify deviations from the project plan. Mitigate risks and resolve issues that may impact project timelines, cost, or quality. Collaborate with project teams to identify and implement process improvements and best practices. Project Closeout Coordinate project closeout activities, including final inspections, punch-list completion, and documentation handover. Facilitate project handover to clients, ensuring a smooth transition and addressing outstanding issues. Conduct project review meetings to evaluate project performance, identify lessons learned, and implement improvements for future projects. DESIGN & ENGINEERING COORDINATION (Weighting 25%) Heat Exchangers Design & Specifications Collaborate with design and engineering teams to review project specifications, drawings, and calculations. Coordinate the exchange of technical information and documents between various stakeholders involved in the project. Facilitate communication and coordination between designers, engineers, and other team members to ensure that design modifications or changes are implemented accurately and efficiently. Review and verify design and engineering documentation to ensure compliance with project requirements and applicable standards. Heat Exchangers Procurement Collaborate with engineering and procurement teams to identify heat exchanger requirements based on project specifications and client needs. Liaise with suppliers, manufacturers, and vendors to procure the required heat exchanger equipment and components. Ensure that heat exchanger selection aligns with project requirements, industry standards, and client specifications. Coordinate delivery schedules and logistics to ensure timely availability of heat exchanger equipment at the project site. Request and review vendor quotations, negotiate pricing, and ensure timely delivery of materials and equipment. Establish and maintain effective communication with vendors to address any technical queries, resolve issues, and ensure compliance with project requirements. Coordinate with the procurement team to issue purchase orders, track deliveries, and manage the supply chain for heat exchanger-related items. PROJECT MONITORING & REPORTING (Weighting 25%)Cost Control & Budget Management Assist in developing project budgets, cost estimates, and financial forecasts. Monitor project expenses, track actual costs against budget, and report on financial performance. Coordinate with the finance department to process invoices, track payments, and manage project-related financial transactions. Quality Assurance & Compliance Ensure compliance with industry standards, codes, and regulations throughout the project lifecycle. Collaborate with the quality control team to develop and implement quality assurance procedures and inspections. Monitor quality control activities, address non-conformities, and implement corrective actions as needed. Documentation & Reporting Maintain accurate project documentation, including project schedules, progress reports, change orders, and as-built drawings. Prepare and submit regular project status reports to management, highlighting key milestones, risks, and deviations from the project plan. Assist in preparing project budgets, cost estimates, and financial forecasts. Track project expenses and ensure adherence to budgetary constraints. Document lessons learned and best practices for future reference and continuous improvement. COLLABORATION & COMMUNICATION (Weighting 25%)Stakeholder Communication & Management Serve as the primary point of contact for internal and external stakeholders, including clients, suppliers, and subcontractors. Facilitate effective communication and collaboration among project team members, ensuring clear expectations and responsibilities. Provide regular project updates to stakeholders, addressing any concerns or issues in a timely manner. Manage and resolve conflicts or escalations, fostering positive relationships with all stakeholders. Develop relationships with clients and grow the business by providing good value to our clients.

TECHNICAL SKILLS:

Heat Exchanger Principles and Design : A strong understanding of heat exchanger principles, including different types of heat exchangers (e.g., shell and tube, plate, finned), heat transfer mechanisms, and fluid. Knowledge of heat exchanger design considerations, such as sizing, material selection, and performance optimization. Engineering Drawings and Specifications: Proficiency in reading and interpreting engineering drawings, specifications, and technical documents related to heat exchanger design and installation. This includes understanding symbols, dimensions, and tolerances, as well as familiarity with drawing software and CAD tools. Project Management Software: Experience with project management software and tools, such as Microsoft Project, Primavera, or similar applications. Technical Documentation and Reporting: Strong skills in creating and maintaining project documentation, including project plans, schedules, progress reports, and change orders. The ability to accurately communicate technical information and provide clear and concise reports to stakeholders. Quality Assurance and Control: Familiarity with quality assurance and control processes in heat exchanger projects. This includes knowledge of inspection techniques, testing procedures, and compliance with relevant industry standards and codes (e.g., ASME, TEMA) to ensure quality and performance requirements are met Risk Assessment and Management: Understanding risk assessment methodologies and being able to identify and mitigate potential risks and hazards associated with heat exchanger projects. This includes conducting risk assessments, implementing risk mitigation strategies, and ensuring adherence to health, safety, and environmental regulations. Technical Knowledge of Related Systems: Technical knowledge of these related systems and their integration with heat exchangers to coordinate projects effectively and addressing any technical issues that may arise.

QUALIFICATIONS:

Bachelor’s degree in engineering or a related field (Mechanical, Chemical, or Process Engineering preferred). Project Management Certification (PMP) is considered an asset. Proven experience in project coordination or management, preferably in the field of heat exchangers or related industries. Solid understanding of heat exchanger principles, design, and construction. Knowledge of relevant industry standards and codes (e.g., ASME, TEMA). Strong organizational, time management, and multitasking skills. Excellent communication and interpersonal skills.
