About the Role

Reporting to the Manager, Student Learning Services (SLS), the Operations Supervisor plays a crucial role in the smooth functioning of the department, providing leadership and ensuring daily activities run efficiently. The position requires a patient, understanding individual who can tolerate a high level of activity and detail-oriented work simultaneously. As the first point of contact for students, faculty, and staff, the Operations Supervisor must possess excellent triage skills to evaluate needs and respond to inquiries about SLS or other departments. High-level interpersonal skills are essential to respond professionally to a variety of requests and to explain the nature of SLS services clearly while establishing rapport. The position also requires high-level thinking, problem-solving, and independent decision-making skills.

This is a permanent full-time position working 35 hours per week on-campus.

Responsibilities

Operational Support and Coordination

Serve as the first point of contact for inquiries from students, staff, and faculty in-person, by phone, or online. Triage and connect individuals to appropriate resources. Handle meeting, workshop, and presentation requests, and manage room bookings. Revise and create office forms, spreadsheets, and posters as needed. Take and compile meeting minutes and agendas, prepare background documents, and follow up on action items. Liaise with MRU ITS and Facilities departments and external vendors. Maintain proficiency in the departmental booking system, including setup and troubleshooting. Monitor and order supplies, manage purchases, and complete required reporting. Coordinate department-wide and promotional events, including bookings, purchasing, invitations, signage, and other communications.

Team Leadership and Department Assessment

Assess the need for and coordinate administrative coverage and support. Supervise two part-time administrative assistants, including recruitment, training, and coaching in collaboration with the manager. Mediate and resolve student issues or conflicts, providing support to direct reports. Collaborate on program cross-impacts and provide input for budget decisions regarding the administrative team. Act as a resource to the SLS team, sharing expertise and collaborating on student issues and activities. Oversee data entry for the Learning Strategist team and prepare statistical reports as needed. Contribute to the development of new departmental assessment tools.

Qualifications 

Completion of a One-Year Post Secondary Certificate/Program required at a minimum. At least 2 years of related experience, including: High-level organizational skills with the ability to work independently and in a team environment. Extensive experience working with people and demonstrating highly developed communication. Supervisory experience would be preferred. Ability to juggle multiple demands and prioritize work effectively. Advanced computer skills, including an understanding of databases and proficiency with Google Google Suite (Drive, Docs, Forms, Sheets). Strong written and verbal communication skills, essential for explaining services and establishing rapport. Ability to model outstanding personal management skills and effective leadership. Willingness to adapt and change as required in a dynamic workplace.
