Steelmaking Business Unit

Schedule Coordinator

(Permanent Position)

 

 

Overall Responsibilities:

 

  • To support of the “Scheduling” element of the Equipment Reliability Process - Utilize Quintiq, CMMS and Microsoft Project tools to load, level and commit maintenance work to a schedule date for their defined areas of responsibility ensuring the optimal utilization of resources to accomplish all required work within specified timeframes. 
  • Utilize MS Project/MS Excel for providing PDF schedules for all execution groups by trade.
  • Responsibilities will include scheduling for larger complex shutdown events and/or complex daily schedules where the development of complex logistics requiring multiple interactions with stakeholders, machine, and materials. This would include major and major extensive shutdowns for multiple process lines or areas concurrently or scheduling complex multi shop parts refurbishment.
  • Responsible to provide scope and schedule coordination for complex schedules during execution including responsibility to track and show status of schedules against baseline and to run schedule update meetings as deemed necessary and compile shift hand off sheets for the off shift.
  • Facilitate and develop detailed job timelines when required.
  • Facilitate Job Risk Assessments when required
  • Maintain a high degree of competency in scheduling methodologies and in understanding Asset or multi-shop area equipment, operational and resource interdependencies.

 

Accountabilities:

 

  • Review” schedule eligible” tasks within Schedule Coordinators domain.
  • Validate work aligned with proper Schedule Coordinator and redirect misaligned work to proper Schedule Coordinator as required.
  • Collaborate with respective stakeholders to assist in schedule logistics development for the purpose of ensuring overall correctness of the schedule logistics.
  • Review status of scheduled work demands daily by collaborating with stakeholders to identify” partial” and” deferred” work that can be accommodated on future schedules.
  • Promptly assign” schedule eligible” Work Order Tasks a Proposed Schedule Date, (PSD), between the Early Start Date, (ESD) and the Latest Required Date, (LRD), enabling the impact of resources versus time to be shown.
  • Optimize duplicate isolation/restoration tasks from different work orders to prevent duplicate work efforts.
  • Facilitate and assist in organizing isolation/deviation plans for the shutdown.
  • Negotiate with Planners, Asset Trade Specialists, Team Leaders to revise ESD and /or LRD when identified work cannot be achieved.
  • Change the PSD on a Task to” level” the total work demand respecting area targets for scheduled execution hours, executing department resource availability, statutory holiday, overtime, reschedule and contracting guidelines, optimizing to lowest cost solution.
  • Maximize utilization of the daily workforce by loading additional Work Order Tasks to a day and shift to better align the Task Labour Estimate resource requirements with labour resource available capacity per day per shift.
  • Confirm asset availability to accommodate scheduled work.
  • Respect task dependency, complexity, continuity, relationships, optimization of time and resources when scheduling work.
  • Facilitate required meetings with all stakeholders to review work for upcoming shutdowns.
  • Participate in WES meetings and provide feedback on impacts of incoming work.
  • Review newly defined work initially identified as” urgent” that can be accommodated on future schedules, negotiate a schedule date > 72 hours into the future with asset owner and accommodate on future schedule.
  • Retain resource capacity to account for short notification of work < 72 hours.
  • Identify resource shortages where work must be accommodated and where insufficient resources are available and work to resolve.
  • Routinely interface with both the Master Coordinator and other plant-wide Schedule Coordinators to respond to issues arising from the overall plant-wide balance between supply and demand.
  • Select tasks to” commit” to a schedule date in a timely manner in accordance with area guidelines based on timing profile of work received.
  • Communicate with stakeholders in accordance with the un-commit process for” committed” Work Order” Tasks in the future that must be rescheduled and accommodated accordingly.
  • Monitor execution readiness to confirm availability of resources, (labour, materials, services, information, permits, etc.) , to meet schedule.
  • Collaborate with Planners, Expeditors and others as required to ensure availability of parts, tools, consumables, etc., to accommodate scheduled work.
  • Facilitate creation of logically linked daily or shutdown schedules utilizing the Quintiq scheduling tool.
  • Use Quintiq for work leveling and MS Project for determination of critical path of the overall shutdown duration.
  • Provide Critical Path Summaries for review by leadership and stakeholders.
  • Collaborate with stakeholders to minimize number of required start times per shift of asset shutdowns.
  • Develop and communicate supporting logistics to improve effectiveness and efficiency of the overall schedule.
  • Publish the overall logistical plan. Utilize MS Project/MS Excel for providing PDF schedules for all execution groups, broken down by trade.
  • Transfer schedule to MS Teams to ensure availability of “live” schedule and report out on completion rates during and after the shutdown.
  • Transfer knowledge and ownership of the overall logistical plan to the execution leadership.
  • Convert to Microsoft Project Schedule for tracking against baseline schedule. Provide execution schedule coordination at the podium for the duration of the shutdown.  This includes updates to the shutdown whiteboard, speaking at shift hand-off and shutdown update meetings about current schedule status and upcoming work, scheduling discovery work, impacts from discovery work and updates for isolation removals and start up sequence ensuring shutdown scheduling processes are followed.
  • Provide shutdown workforce demand forecast information aligned with the” Corporate Shutdown Schedule” to the Asset Planner Coach and Master Coordinator.
  • Develop Equipment Site Maps with stakeholders for shutdown logistics to ensure understanding of equipment placement.
  • Participate in” Asset Backlog Review” meetings, post shutdown/non-shutdown and execution follow-up reviews to identify” work” scheduling improvement opportunities.
  • Facilitate Shutdown Rehearsal which encompasses the safety theme, Critical Path, and execution readiness.
  • Provide Follow-Up report for the shutdown detailing schedule stability, Health and Safety occurrences, shutdown variances impacting overall duration. Provide Stream Start-up Report for leadership and managers.
  • Provide schedule coordination support in the event of a major breakdown.
  • Optimize and order AWPs required for the shutdown.

 

Desired Skills & Experiences:

 

  • Minimum Highschool Diploma/GED is required.
  • Strong interpersonal management and communication skills to work effectively with people in a variety of roles is required.
  • Excellent organizational and time-management skills are required.
  • Excellent problem-solving skills are required.
  • Intermediate personal computer and corporate standard software skills are required.
  • Advanced scheduling software and practices skills are required.
  • Experience using MS Excel, MS Word, and MS project or equivalent is required.

 

Knowledge of the following is considered an asset:

 

  • Knowledge of process equipment set up requirements, typical equipment inspections and change outs, commissioning and start up activities, potential job and cross asset interferences, and typical interrelationships between tasks, jobs, and trades.
  • Knowledge of workforce, maintenance planning and scheduling techniques including logistics, coordination, and schedule problem solving.
  • Knowledge in Project Management methods including logic work breakdown schedule, Gantt diagramming techniques, identifying task relationships, determining critical path, employing estimating techniques, and analyzing resource utilization.
  • Understanding of workforce resources in terms of availability, skills, and capabilities; asset and equipment; legal requirements around hours of work, etc.
  • Understanding of manufacturing processes and maintenance activities. Understanding principles of process equipment set up, equipment inspections and repairs, commissioning and start up activities, potential job and cross asset interferences, typical interrelationships between tasks, jobs, and trades in the Manufacturing environment.
  • Knowledge of machine capability, complex multi-shop workflow, expediting, for shop Schedule Coordination.
  • Advanced applicable systems skills are required such as CMMS, SAP and Quintiq.

 

Hours of Work:

 

10.5 hour Day Schedule, Monday to Thursday, with extended hours/night shifts as required due to periods of peak workloads/shutdowns.

 

Work Environment:

 

Office and plant. Required to wear applicable personal protective equipment in plant and workstation areas. Respirators occasionally required reducing exposures to within acceptable limits.
