Terms and conditions of employment are as outlined in the Part-time Support Staff Collective Agreement. Located in Midland and reporting to the Campus Principal, the incumbent will support the Academic and Career Preparation (ACP) program by providing general administrative support to the ACP team. As the first point of contact for the program, the ACP Representative provides reception, intake and screening duties to assist clients and students; completes exit and follow up activities; maintains accurate student files on internal and external systems; and, tracks financial expenditures at the Midland campus. Specific duties include, but are not limited to: Program Support •Provides reception for Academic and Career Preparation. Responds to inquiries, providing general information about college and Employment Ontario programs (including Academic and Career Preparation) and directing individuals to appropriate Georgian College departments or community services for assistance•Enters data into Banner and EOIS-CAMS (Employment Ontario Information System – Case Management System) as required to maintain accurate student records, including managing CRNs (Course Reference Numbers) and other internal processes. Maintain paper and electronic files, ensuring that file destruction takes place at the appropriate time•Monitors student attendance•Assists with the preparation of ministry or college reports as needed•Supports the achievement of all targets set by the ministry and the college, to evaluate program success•Assists with program marketing through unpaid and paid marketing activities, such as social media presence and advertising, working collaboratively with the Marketing Specialist and staff at other sites. Assist and participate in college and community events, such as Open Houses and job fairs•Tracks financial expenses•Maintains inventory of office supplies•Supports the creation and maintenance of ACP files, including internal forms. Assist with internal file audits to ensure that all required documentation is present and complete•Supports the creation and administration of surveys for students and other parties•Regularly check eopg.ca (Employment Ontario Partners’ Gateway website) for updates•Attend professional development activities, including meetings, with the approval of the manager•Follows all privacy and release of information processes•Maintains documentation with up-to-date processes for this position Client and Learner Support •Assists with program intakes by acting as first point of contact for clients. Ask screening questions to determine which program would best meet the client’s needs. Redirect to appropriate college or community services, if required•Books, confirms and reschedules appointments for clients and learners. Help create timetables for learners•Assists with attendance reporting and tracking•Inputs and maintains student information on external and internal databases and generate reports. Enters final grades in Banner•Assists with monitoring ACP attendance and removing learners from the program. Ensure exit processes are followed, including distributing learner satisfaction surveys and following up with exited learners, as per ministry guidelines•Supports the training supports process•Acts as possible first contact for student issues and direct to appropriate next steps Staff Support •Provides support/assistance with office equipment for staff•Provides support for regular team meetings by booking space, collecting agenda items, recording minutes and distributing to department staff Qualifications: •Successfully completed a post secondary certificate in Office administration, social services or another related program•At least 2 years experience in an office setting, preferably in an educational setting•Proven customer service skills•Excellent time management and multi-tasking abilities•Computer skills including Microsoft office (word and Excel), data entry•Office equipment technical and troubleshooting skills•Self-starter•Ability to multi-task•Must be able to work well in a team setting Georgian College supports diversity, equity and a workplace free from harassment and discrimination and is committed to an inclusive, barrier-free environment.
