Role Overview The Operations & Executive Support Coordinator is a vital member of the Trella team, supporting the COO and playing an integral role in ensuring the firm runs smoothly across all functions. This is a diverse and dynamic position that blends executive assistance, operations support, client & project management, and marketing coordination. The ideal candidate is organized, resourceful, and thrives in a role that requires both independence and collaboration. They are highly fluent in Microsoft 365, have a sharp eye for detail, and can pivot seamlessly between administrative precision and creative execution. Above all, they bring discretion, relational awareness, and a calm, professional presence to their work. Responsibilities Executive & Operational Support Manage calendars, coordinate meetings, take notes, and track follow-ups for the COO and leadership team. Prepare and format documents, presentations, proposals, and other materials for internal or client use. Assist with special projects and initiatives as needed to support company objectives. Uphold strict confidentiality and discretion in all matters related to client, consultant, and firm operations. Operations Coordination Collaborate with team members to ensure smooth workflow and effective communication across the organization. Maintain internal databases, consultant records, and client engagement tracking within Microsoft 365 and SharePoint. Ensure the IT SharePoint system operates efficiently and securely; serve as primary contact for IT-related issues (including Outlook), liaising with Microsoft support and providing regular updates. Assist in documenting firm processes and improving operational workflows. Ensure that internal systems, calendars, and files remain organized and current. Client & Project Management Support consultant initiatives for client work, including assisting with preparation of presentations, reports, deliverables, and Insights discovery tools. Coordinate travel arrangements and accommodations for consultants as needed. Provide day‑to‑day project support to ensure operational priorities move forward smoothly, including: Prepare, draft, format, and proofread documents, presentations, proposals, budgets, reports, and meeting materials. Coordinate logistics for client meetings, including scheduling, Zoom/virtual setup, and preparation of materials. Prepare letters of agreement and consultant fee agreements, and ensure they are signed and finalized. Assist with business development and client engagement by conducting outreach, submitting proposals, and developing budgets using Trella’s Phase cycles and consultant rates. Create and maintain task lists, project trackers, project overview plans, and deadlines; ensure action items from meetings are followed through to ensure timely project completion. Serve as a point of contact for consultants to ensure smooth workflow and timely completion of client deliverables. Assist with organizing and maintaining project documentation and client records to support consultant work. Marketing & Communications Coordinate the preparation and scheduling of Trella’s newsletters, email campaigns, and LinkedIn content. Assist with copy editing, basic design work, and layout for digital materials and presentations. Maintain marketing calendars, contact lists, and performance tracking. Work collaboratively with the COO and external contributors to support firm‑wide content and communication initiatives. Manage social media accounts, content calendars, contact lists, performance tracking and external communications. Assist the COO with monitoring and analyzing performance metrics, ensuring alignment with marketing objectives. General Support Serve as a reliable point of contact for internal administrative needs. Support internal events, workshops, or consultant initiatives as needed. Anticipate operational needs and proactively identify areas for improvement. HR & Recruitment Support (If Needed) Support HR functions, including onboarding, offboarding, and maintaining personnel records. Assist with recruitment activities, including posting job openings, screening resumes, scheduling interviews, and coordinating interview logistics with the Founder. Qualifications & Attributes 3–5 years of experience in executive support, operations, project coordination, or office management. Prior experience supporting senior leadership or founders strongly preferred. Familiarity with professional services or consulting environments is an asset. Post‑secondary education in business administration, finance, communications, or a related field preferred. Strong proficiency in Microsoft 365, including Outlook, Teams, SharePoint, Excel, and Word. Familiarity with QuickBooks Online and general bookkeeping principles is an asset. Excellent organizational skills with a commitment to accuracy and follow‑through. Strong attention to detail and accuracy in both administrative and project deliverables. Professional discretion and sound judgment when handling confidential information. Strong communication skills—both written and verbal—with a relational, approachable tone. Adaptable, self‑motivated, and able to manage multiple priorities with calm efficiency. Enjoys working in a fast‑paced, ever‑changing environment where there is an opportunity to make a material impact every day. Fluent in English, both written and spoken. Must be located in Toronto or Vancouver. This is a remote role with a small requirement to travel to a home office as needed. This role is a full‑time position offered as a 12‑month contract to provide maternity leave coverage, with the possibility of extension based on organizational needs.
