Administrative Lead Job in Etobicoke, Ontario

Foundation Physiotherapy & Wellness is hiring for an Administrative Lead job in Etobicoke, Ontario, and we're looking for a service-oriented person to run the front-of-house and administrative side of our clinic on Royal York Road. This is a full-time role in a positive health care setting, and it suits someone who enjoys working with people and wants to lead a team. You'll be the steady presence that clients and clinicians rely on, from the first booking to the final payment.

Leading the Client Experience Team

As Administrative Lead, you're not only welcoming clients yourself; you're managing, training, and overseeing our client experience team. You'll set the tone for how every phone call, booking, and payment is handled, and you'll work directly with the clinic director, supporting them with reporting and billing. If you've held a customer-facing role in a gym or fitness setting, retail, or catering and hospitality, you already know how to keep a busy space running smoothly. This position lets you build on that experience with real responsibility.

The administrative work here is concrete. You'll reconcile payments, maintain and manage accounts receivable, and prepare weekly reports on clinic stats so the people running the clinic can see how it's doing. That mix of people skills and process work is what makes the role rewarding: you'll spend part of your day with clients and part of it making sure the numbers, schedules, and details behind their care are right. Experience with billing, invoicing, collections, and writing clear email communication is an asset. We also ask for some flexibility with your schedule, with mornings starting at 8:00am and afternoons running until 4:00pm.

A Clinic Group Built on Ownership and Growth

Foundation is a group of modern health care clinics in Toronto, led entirely by practicing Canadian physiotherapists. We believe ownership created better clinicians, and we bring that same idea to our administrative team: we want people who take responsibility, follow through, and grow into bigger roles. Our culture is collaborative, accountable, and growth-oriented, and our stated goal is developing future leaders rather than simply filling positions.

Our Etobicoke clinic, at Royal York and Lakeshore, offers physiotherapy, massage therapy, and chiropractic care, along with custom orthotics and programs such as running physiotherapy, strength and conditioning, and pre- and postnatal care. Part of your role is understanding these services well enough to explain and recommend them, and to help develop and deliver promotions and onsite marketing events. You'll also be part of a team that likes its work: smiling, laughing, and having a good time is part of the job description.
