Position: Parts & Service Administrator - Guelph

* This is not a remote position - You are required to be on-site every day.


About The Role:


Over the past 30+ years, Reefer Sales has become the leading provider of temperature-managed transportation hardware, equipment, service, and support across North America. We are currently looking for a Parts & Service Administrator to support our Guelph location.

Duties:

  • Work with a positive and professional attitude and communicate effectively and efficiently with customers.
  • Support company operations by maintaining office systems such as designing filing systems and organizing office operations.
  • Maintain the daily installation report to track ongoing projects and schedules for Sales Coordination – Process LPO (Local Purchase Order) requests.
  • Assist with the coordination and activities of service technicians.
  • Ensure accurate and real-time updates on all completed work and communicating with customers.
  • Assist in generating repair estimates using our business software.
  • Complete the opening, closing, and invoicing of repair orders promptly and effectively while also monitoring and managing the work in progress.
  • Organizing and filing repair orders and other paperwork.
  • Assist with inbound phone traffic and emails.
  • Sort and place materials on racks, shelves or bins according to organizational standards.
  • Assist in counting of physical inventory.
  • Prepare orders by processing requests and supply orders; pulling materials; packing boxes; placing orders in delivery area.
  • Perform various other tasks as required.


Requirements:

  • Extremely detailed and well-organized individual.
  • Excellent communication skills in English, both written and verbal.
  • Ability to adapt in high pressure situations.
  • Self-motivated and disciplined to work with minimal supervision.
  • Strong computer skills, with intermediate abilities in Microsoft Office, specifically Excel.
  • Previous experience in the transportation industry, or a related parts/admin role is preferred.
  • High School Diploma or equivalent.
  • Ability to meet the physical demands of the job (standing, lifting, pushing, pulling…etc.)
