Senior Officer, Academic Development and Operations Join to apply for the Senior Officer, Academic Development and Operations role at University of Ottawa . Position Overview Act as the first point of contact for the entire University of Ottawa community, handling inquiries related to admissions, programs of study, regulations, deadlines, financial matters, and more. Anticipate and provide proactive support, perform administrative tasks, and ensure high‑quality service to retain students across all programs. Responsibilities Manage dissemination of accurate, up‑to‑date information to prospective and current students, parents, alumni, faculty, staff, and the public via phone, email, virtual and in‑person interactions. Provide academic advising to non‑degree students, aiding course selection and assists with admission/readmission to regular programs. Handle program change requests for undergraduate students and serve as backup to the Program Change Specialist. Advise on finances, payment terms, reimbursements; maintain financial records and complete transactions. Provide UHIP guidance and determine eligibility, exemptions, and dependent add‑ons. Interpret and enforce Ministry of Colleges and Universities policies for tuition and legal status; ensure compliance and data integrity. Evaluate immigration requests, translate needs into actionable steps, and recommend advisor meetings when necessary. Generate and assess academic documents tailored to complex student requests. Collaborate on registrar office projects: create plans, define goals, deliverables, timelines, and oversee implementation. Act as an operational resource for faculties and services; supervise front‑line employees and assist in onboarding new staff. Support and execute academic intervention and student retention initiatives, including diagnosing issues and directing students to appropriate services. Maintain student data integrity and follow up on student files to ensure compliance with academic and administrative calendars. Qualifications Post‑secondary administration training and several years of experience in a similar role. Minimum of 2 years of customer‑service experience as a resource person. Bilingual – fluent in French and English (spoken and written). Knowledge of post‑secondary programs, university services, and structure. Strong customer‑relationship building skills. Ability to handle conflicting priorities, meet strict deadlines, and maintain high accuracy in a fast‑paced environment. Excellent negotiation, diplomacy, and problem‑solving skills. High precision in task execution and student data integrity. Proficient use of Student Information Systems, Windows, word processing, spreadsheets, database, internet, and email. Interpersonal and communication skills; teamwork competence. Willingness to work outside regular office hours and on weekends.
