QUALIFICATION REQUIREMENTS

Education/Experience:

  1. This is a lower-intermediate level position.
  2. Minimum two years as an immigration legal assistant.
  3. Post-secondary education
  4. High level professional English (CLB 9 or higher)
  5. Excellent proofreading, spelling, grammar, writing, and arithmetic skills. This is crucial to the position and you will be tested.
  6. Strong ethics essential to the work. Truthfulness, strong sense of responsibility, and willingness to embrace Law Society and professional rules that govern work is crucial.
  7. Familiarity with Trust accounts and PCLaw would give you an advantage.
  8. Strong knowledge of Microsoft Suite, especially Word, Excel, and Outlook.
  9. Have a “can-do” attitude, willing to identify tasks that have not been assigned, anticipate subsequent steps to tasks, and ensure completion.
  10. Tolerate deadlines and fast-paced work well.
  11. Capacity to perform unusually detailed and precision work, including high quality document formatting.

DUTIES AND RESPONSIBILITIES include, but are not limited to:

  1. This job is NOC 13111 Legal Administrative Assistant and NOC 14301 Proofreader although various other tasks will be assigned as-needed in a small office.
  2. Undertake ongoing hard and soft skills training, as directed
  3. Maintain positive client, co-worker, and third-party relations
  4. Maintain confidentiality
  5. Prepare correspondence
  6. Gather information and documents from clients
  7. Draft immigration applications for team and client review
  8. Learn and take over reception and invoice clerking duties to provide support to the person in that role.
  9. PCLaw Trust and General entries, including opening matters, fee entries, receipts, payments, recurring entries, print cheques, print reports, deactivate matters
  10. Respond to telephone, email, and in-person enquiries and arrange consultations
  11. Perform clerical duties, such as mail processing, word processing, form filling, scanning and photocopying, and precise electronic document labelling and filing.
  12. Strictly maintain calendaring of general office deadlines, important dates, and BF system
  13. Assist with marketing plan and execution.
  14. Sense of humour and play appreciated.
  15. Be able to work in a fast-paced environment where you need to switch tasks frequently.
