Position Summary South Country Co-op is currently hiring a detail-oriented and organized Senior Office Clerk to join our Finance Team based out of our Business Support Centre in Medicine Hat, AB. JOB DESCRIPTION Reporting to the Credit Manager, the Senior Office Clerk plays a key role in supporting day to day administrative operations with a focus on Credit. This position is responsible for ensuring the effective flow of information, communication and execution of world-class customer service that is friendly and efficient. This position supports the finance credit function to mitigate credit risk for the organization. The incumbent will be accountable for auditing controls, providing recommendations, collecting delinquent accounts, and supporting the Credit Manager in preparing a monthly analysis of accounts receivable and consulting with credit arrangements. In addition, this position supports the finance team in executing the department’s goals and objectives. The ideal candidate is professional, highly organized, has the ability and willingness to perform collection calls to customers, and committed to delivering exceptional service to both internal and external stakeholders. Key Responsibilities Perform collection calls to customers regarding overdue accounts in a professional and courteous manner Monitor and follow up on outstanding invoices to ensure timely payments Correspond with customers on payment arrangements while adhering to company policies Update customer account information and maintain accurate records of collection activities in the system Prepare and send reminders (emails, letters) for overdue payments Investigate and resolve discrepancies related to customer accounts and billing issues Coordinate between the finance functions to resolve customer disputes and ensure account accuracy Escalate delinquent accounts for further action when necessary Ensure compliance with company credit policies and relevant regulations Other duties as assigned Qualifications Candidates must possess basic accounting knowledge, excellent internal and external customer service skills, and strong attention to detail. Applicants should be self-reliant, goal-oriented, and be able to set and adjust priorities and schedules. Diploma in Business or Office Administration (or equivalent experience) Minimum 2 years of experience in an office or administrative role, preferably with exposure to credit functions Possess basic accounting functions knowledge, preferred. Ability and willingness to perform collection calls to customers Proficient in Microsoft Office programs (including Word and Excel) Ability to deal with people sensitively, tactfully, diplomatically, and professionally always Ability to effectively communicate both verbally and orally Strong attention to detail and accuracy in data entry and document handling Excellent organizational and time-management skills with the ability to prioritize tasks High level of integrity, confidentiality, and accountability Ability to adapt to new technologies and work in a fast-paced environment Work Schedule Monday to Friday; 7:30am to 4:30pm Why Work with Us?
