Position Summary The Talent Operations and Project Coordinator plays a pivotal role in supporting the Talent team’s daily operations, recurring processes, and strategic initiatives. Reporting to the Canada Director, People Experience and Talent Strategy, and the Canada Director, Talent Advisory, and working closely with the broader Talent team, this position is responsible for coordinating a variety of projects and administrative tasks that enhance the efficiency and effectiveness of the Talent function. This role ensures the smooth execution of annual talent processes, governance activities, and strategic initiatives that enhance the employee experience and support the Firm’s talent priorities. The Coordinator will be instrumental in drafting communications, ensuring adherence to timelines for projects and deliverables, supporting financial and budgetary processes, creating presentation templates, organizing meetings, and ensuring seamless project execution across the Talent team. This dynamic role involves coordination and prioritization of multiple project activities across different facets of the Talent function, including talent acquisition, performance management, leadership development, and employee experience initiatives. As such, the position requires adaptability, strong organizational and communication skills, and the ability to manage diverse priorities and timelines within a fast-paced environment. Key Responsibilities Performance Management Support Provide comprehensive coordination and administrative support for the performance management process to ensure timely and accurate execution of key activities for Talent leadership. Create and maintain spreadsheets for collecting performance feedback for Talent leaders. Schedule and coordinate performance discussion meetings for the Canada Director, Talent Advisory, and Canada Director, People Experience, including logistics and follow‑up actions. Support the Canada Director, Talent Advisory on the Business Services Leadership team review process. Support the Canada Director, Talent Advisory on scheduling compensation review meetings with Business Services Leaders (BSLs). Project Coordination & Strategic Initiatives Work closely with talent leadership, including the Senior Manager, Talent Projects and People Experience, to support project management activities, including tracking deliverables, deadlines, and action items for key initiatives led by Talent leadership. Coordinate quarterly reporting by requesting required information from across the Talent team, consolidating submissions, and preparing a comprehensive package for leadership review. Create and format slides for projects and presentations as requested. Coordinate calendars for project meetings, workshops, and deliverable deadlines. Coordinate with cross‑functional teams (e.g., translations) and follow up on deliverables. Under the direction of Talent Leadership, support recurring and strategic projects by formatting documents, coordinating multi‑office deliveries, managing event logistics (equipment, catering, facilities management), and aligning schedules. Organize and coordinate internal and external meetings, including logistics, agendas, materials, and follow‑up actions. Prepare, review, and edit correspondence, presentations, reports, and other documents as required. Other duties as assigned. Finance & Administrative Support Download monthly Talent Income Statements from the Financial Reporting Portal and post to Teams and iManage folders. Update the Talent FTE and salaries tracking spreadsheet in iManage monthly. Request Year‑to‑Date General Ledger (GL) details from Accounts Payable quarterly for reporting. Schedule quarterly Budget Review meetings for Talent leadership. Process Talent invoices with appropriate approvals and GL coding, including benefits vendor invoices, Talent Acquisition invoices (LinkedIn, background check, placement fees), leadership coaching invoices, and other Talent‑related invoices as directed. Maintain tracking sheets and agreements in designated iManage folders. Coordinate the monthly Talent In Brief process by requesting topics from the team, flagging recurring activities, compiling, reviewing, and editing submitted topics to ensure consistent written format in accordance with guidelines, preparing the finalized file for leadership review, and updating the Topics Tracker in Teams. Coordinate and support Quarterly Talent Meetings. Assist with travel arrangements, expense reports, and other administrative tasks. Leadership Support & Calendar Management Manage calendars, schedule meetings, and coordinate appointments to ensure optimal time management and prioritization of tasks, including proactively resolving calendar conflicts. Serve as a liaison between Talent Directors, executives, and internal/external stakeholders, maintaining professionalism and confidentiality at all times. Act as backup to the Executive Assistant to the Chief People Officer for administrative and coordination tasks. Qualifications Minimum 3 years of experience in administrative coordination, project support, or operations within a law firm, professional services or corporate environment. Post‑secondary degree or diploma in Business Administration, Human Resources, or a related field. Proficiency in Microsoft Excel (advanced skills preferred). Ability to optimize team collaboration using Microsoft 365 tools such as Teams, Bookings, and OneNote for scheduling, information sharing, and workflow management. Experience leveraging AI tools for personal organization, efficiency, and/or automation. Strong organizational and time management skills with the ability to prioritize competing demands. Excellent written and verbal communication skills. Ability to work independently and collaboratively with cross‑functional teams. Proactive mindset with strong critical thinking and systems thinking skills to anticipate challenges and identify process improvements. High level of professionalism and discretion in handling confidential information. Strong attention to detail and accuracy in all deliverables. Experience supporting HR or Talent functions is an asset. Familiarity with document management systems (e.g., iManage) and financial reporting tools is an asset. The target salary range for this position is $60,000 – $70,000, commensurate with the successful candidate’s skills, experience, and qualifications.
