The Sales Account Coordinator is a member of the REAL Sales team and works collaboratively within the corporate development team. This position will be event driven and will also support other areas of responsibility in the Corporate Development unit as requested. Reporting to the Account Executive, the Sales Account Coordinator is responsible for detailing all events which include banquets, receptions, trade and consumer shows, meetings, and conferences. The Sales Account Coordinator is responsible for preparing detailed event orders, creating floor plans, ordering services from suppliers, answering inquiries, and managing calendars. They will also be responsible for communicating changes to agenda times, guaranteed numbers, room set‑ups, audio‑visual requirements etc. to the appropriate departments in a timely manner. The Sales Account Coordinator will liaise closely and cooperatively with the delivery team members to ensure the proper execution of the event. WHAT YOU WILL DO 1. Provide support to the business unit through detailing event orders and working with our event delivery teams by: Utilizing Event Pro; monitoring multiple bookings; recording inquiries; entering and updating client contact information; placing holds and recording cancellations. Acting as a liaison to clients and successfully managing the business relationship within own area of responsibility. Receiving signed License Agreements, Deposits, and Insurance documents by the required due dates. Ensuring event complaints and inquiries are handled efficiently. Attending regular departmental meetings. Multi‑tasking effortlessly under tight deadlines while providing excellent customer service. Administering and coordinating the rental space. Collecting and record keeping of all documentation required for the event. Participating in post event analysis. 2. Serve as a member of the REAL Sales team delivering results by: Adhering to all corporate and departmental policies, guidelines and statutory requirements and recommends to senior management adoption and/or changes to policies and guidelines. Contributing to the development and maintenance of standards, policies, and procedures regarding customer service. Actively ensuring the retention and growth of REAL’s customer base by promoting REAL facilities and services to new and existing customers. Working collaboratively with peers and other departments to execute events, resolve problems, facilitate solutions, and enhance customer service and satisfaction. Ensuring events run smoothly for clients and deal with any problems that may occur. Participate/lead client meetings and site tours; present ideas, solutions, and saleable opportunities that meet client objectives; be creative to drive revenue. Completing work plans that identify deliverables, accountabilities, interdependencies and timelines on all the above initiatives. 3. Performs other duties as defined and assigned by the Account Executives. This is a Permanent Fulltime position and you must be able to work 37.5 hours a week. Wage: $21.91 - $32.07/ hour QUALIFICATIONS Education and Experience A Bachelor of Administration degree and/or hospitality/food & beverage certificate is preferred, or a combination of relevant experience. Minimum of 2+ years sales/service experience in the food and beverage, event catering, planning, or execution. A strong background in the hospitality industry is required. Experience with EventPro & Social Tables. Two years related administrative experience in creating and maintaining accurate records and reports using MS Office products Knowledge, Skills and Abilities Knowledge of EventPro & Social Tables. Knowledge of general office procedures, filing systems and use of office equipment. Knowledge of the event planning/catering/conferences business. Demonstrated ability to up‑sell successfully; understands and anticipates client needs to provide exceptional service. Demonstrated customer orientation with a proven ability to effectively respond to customer enquiries via telephone or computer in a timely and engaging manner. Demonstrated ability to manage multiple tasks and priorities under tight deadlines and easily adapt to changing situations with excellent organizational, time management and prioritization skills. Demonstrated ability to take initiative to identify opportunities for improvement without being prompted. Demonstrated ability to regularly update and articulate information to clients and internal teams on progress and potential issues. Ability to understand client needs and concerns through attentive listening. Ability to design, format and/or modify complex documents accurately and in a timely manner using intermediate to advanced features of computer software packages such as Microsoft Word, Excel and Outlook and PowerPoint and event planning software. Demonstrated analytical thinking capabilities with a strong attention to detail.
