Job Purpose:  

To provide the Production Coordinator with administrative support in the areas of client communication, document creation, and document submission and tracking. 

 

Job Duties:  

  • Answer email inquiries  
  • Answer calls and return voicemails 
  • Forward inquiries to appropriate parties 
  • Prepare draft client manuals using provided templates 
  • Submit client documents to Transport Canada  
  • Obtain Progress Reports from Transport Canada regarding submitted documents 
  • Schedule meetings with external clients as needed 
  • Complete administrative tasks  
  • Maintain files in SharePoint 
  • Create and track invoices and payments 
  • Compile client information 
  • Assist, if required, with tradeshows and presentations 


Required Qualifications:  

  • Basic computer skills 
  • Working knowledge of the following software: M365 
  • Microsoft Teams, Word, Excel, Outlook, PowerPoint, SharePoint 
  • Laptop or desktop computer - Windows or Mac 
  • Client communications experience 
  • Organizing Skills 


Support Provided:  

  • Cell phone with Canada-wide calling and texting 
  • Re-imbursement of Internet fees 
  • Microsoft 365 
  • Corporate email address 
  • Software Tutorials  
  • Technical Support 


Working Conditions:  

  • Part-time 20 hours per week 
  • Remote working environment 
  • Flex time 
  • Head office is in Vancouver, BC and works on Pacific Standard Time. 


Additional:  

This is a contract position, with the possibility of eventually becoming an employee position. Vacation pay will be paid out in lieu of vacation time.
