Position Summary Reporting to the Director, Mortgage Operations, the Mortgage Fulfillment Officer (MFO) is responsible for the successful fulfillment and funding of mortgage applications and partnering directly with the Mortgage Loan Officer (MLO), Underwriters and Sales when required. The role also requires direct partnership with legal entities representing HomeEquity Bank on the legal instructions and funding of our mortgages. The role’s primary focus is the legal stage of the file journey. The MFO is accountable for satisfying all conditions placed by both the Underwriter and the MLO on all files, which are required for advancement to funding. The role also supports risk management by ensuring valid enforceable security and full adherence to the Bank’s policies, procedures, and regulatory requirements. The position includes a cursory review of files returned by lawyers and legal partners to ensure documents meet guidelines. Major Elements Of The Role Coordinate with internal clients and partners (Sales and Underwriters) and external partners (Title Insurers and Provincial lawyers) to ensure a client-focused experience and that a mortgage is funded on the client’s requested timeline. Ensure a properly executed mortgage – registered on title providing the Bank with the required security for the loan. Complete a cursory review of documents and the overall file, including conditions from the Underwriter and MLO. Prepare all legal instructions, documentation and disclosures required for fulfillment. Directly partner with legal entities representing HomeEquity Bank to ensure timely completion of the deal, with attention to closing dates and milestones. Coordinate funding of files with internal accounting teams or external lawyers and firms. Key responsibilities include maintaining comprehensive file details, reviewing documentation to satisfy all conditions, and ensuring compliance with applicable laws, regulations, and internal policies. The role requires detailed pipeline reviews to maintain Service Level Agreements and move files through the legal stage. This role is fast-paced with a consistent workload. Expectations include delivering a positive client experience every time, coupled with accuracy and on-time funding. Skills And Experience Required University Degree/Community College Diploma or equivalent work experience Basic understanding of the current financial services environment Good communication and conflict management skills Thrives on variety and continuous improvement Well organized and comfortable working independently as well as in a collaborative team Ability to adapt to a changing environment and manage multiple priorities Proactive approach and sense of urgency to get things done Creative problem-solving skills with the ability to get results Some proficiency in Microsoft Office with the ability to learn new programs quickly Excellent customer service skills with a drive to build strong relationships Working Conditions Hybrid office environment Why Work At HomeEquity Bank?
