Job Title: CRM Sales Specialist (Real Estate) Location: Mississauga Industry: Real Estate (Residential / Commercial / Development) Reports to: Team Lead Salary: Base + Commission Job Summary We are seeking a detail-oriented and results-driven CRM Specialist to own and optimize our Customer Relationship Management (CRM) system within the real estate business. This role is critical in managing leads, nurturing client relationships, improving sales follow-up, and supporting agents and management with accurate data, automation, and reporting. The role will also require the individual to call the leads and book appointments. The ideal candidate understands real estate sales cycles, lead pipelines, and client touchpoints—from first inquiry to closing and post-transaction follow-up. Key Responsibilities CRM Management & Optimization Own day-to-day management of the CRM platform (setup, configuration, maintenance) Customize pipelines for buyers, sellers, investors, tenants, and landlords Ensure accurate data entry, tagging, segmentation, and lifecycle tracking Maintain data integrity, deduplication, and compliance with privacy laws Lead Management & Automation Manage inbound leads from MLS, websites, portals, ads, referrals, and open houses, social media Design and implement automated follow-ups (email, SMS, tasks, reminders) Assign leads to agents based on rules, availability, or performance Monitor response times and lead conversion rates Sales & Agent Support Train agents and staff on CRM best practices and workflows Create standardized processes for prospecting, nurturing, and closing Support listing launches, buyer campaigns, and investor outreach Act as the go-to CRM expert for troubleshooting and improvements Marketing & Client Nurturing Build drip campaigns for buyers, sellers, past clients, and investors Segment audiences based on location, budget, intent, and transaction stage Coordinate CRM campaigns with marketing initiatives and listings Track engagement metrics (opens, clicks, replies, appointments) Reporting & Analytics Produce weekly/monthly reports on leads, conversions, pipeline value, and closings Provide insights to improve agent performance and marketing ROI Forecast sales activity and identify pipeline gaps Present CRM data clearly to leadership Integrations & Systems Integrate CRM with MLS, marketing platforms, dialers, email, and calendars Work with vendors and tech partners to enhance system capabilities Recommend CRM upgrades, add-ons, or workflow improvements Required Qualifications 2+ years of CRM experience (real estate preferred only) Strong understanding of real estate sales processes and client journeys Experience managing leads, pipelines, and automated follow-ups High attention to detail and data accuracy Strong communication and training skills Must have prior sales experience in real estate Preferred Qualifications Experience with real estate CRMs (e.g., Follow Up Boss, HubSpot, Salesforce, LionDesk, kvCORE) Brokerage, development, or high-volume team experience Basic understanding of email/SMS compliance (CASL, privacy rules) Marketing automation or analytics experience Key Skills CRM administration & optimization Lead nurturing & automation Sales analytics & reporting Agent training & support Process improvement Real estate operations mindset Performance Metrics Lead response time Conversion rates (lead → appointment → deal) CRM adoption by agents Data accuracy and completeness Campaign engagement and ROI Why Join Us Be at the center of sales and growth strategy Direct impact on revenue and agent productivity Work with leadership on scaling systems and operations Fast-growing real estate environment Notes: Nik Handa Real Estate uses Workwolf’s AI-enabled tools to sort and screen applications based on job-related criteria.
